SENIOR OFFICE SPECIALIST Location Mount Pleasant, MI : Duties performed are of a senior clerical nature handling significant details and duties that require ability to apply technical knowledge to clerical functions. It incorporates elements of other levels with a majority of effort associated with specialized support services or program related activities. It may include performing lead duties over other office professional employees and student staff. Specialized functions may include performing complex bookkeeping, general accounting, or duties requiring technical knowledge. Other key aspects of work at this level include a high degree of independence and latitude to prioritize work assignments. Required Qualifications High school diploma or GED. Three years of qualifying experience or a combination of education and experience that equates to three years. Experience with Microsoft Word. Customer service experience. Duties & Responsibilities Operates the Facilities Management Service Center. Operates the computerized facilities and infrastructure maintenance management system; types, classifies, distributes, costs and closes-out work orders; Establishes, issues and monitors recurring work orders. Trouble shoots the work order system; responsible for the daily maintenance of the system; supervises data entry, protocols and procedures as they relate to the Facilities Management Service Center; follows-up on work orders 90 days or older; conducts daily work order processing; prioritizes special service requests and directs work to the appropriate shop; communicates with directors, supervisors, skilled trades personnel, contractors and staff which includes face-to-face, telephone, two-way radio, and email communications. Handles Service Center complaints and customer relations; follows-up on work requests and complaints; communicates with customers at all levels. Files and records maintenance work orders, corrects errors, and runs reports. Performs special projects as assigned including researching, collecting and compiling data as directed. Performs customer service duties and routing of calls to proper destination. Performs student employee training and supervision; hires, trains and monitors students to ensure proper procedures are followed and execution of Service Center duties. Oversees the delivery of department mail to and from campus. Works with supervisor to establish procedures and training routines and protocols. Essential Functions This position is critical to dispatching employees and recording work in the Facilities Management maintenance system. This position is classified as an essential employee. Essential employees are required to attend work during weather events such as snowstorms, rainstorms, extreme cold, floods, and any other weather event that may cause a work stoppage or delay to the university. Other events such as economic, political unrest, local, state, or federal emergency will be treated the same as a weather event and the employee must report to work.
