ACCOUNTS RECEIVABLE CLERK

THE POSITION:
We are seeking a highly organized and detail-oriented Accounts Receivable Clerk to join our dealership’s finance team. The ideal candidate will be responsible for processing customer payments, managing accounts receivable, and ensuring that all financial transactions related to vehicle sales, service, and parts are accurately recorded. This is a key role in maintaining positive customer relationships while ensuring the timely collection of payments and the accuracy of financial records.

Skills & Qualifications:
- Strong knowledge of account principles and accounts receivable functions, with a basic understanding of dealership operations (vehicle, sales, service, parts) preferred.
- Proficiency in dealership management software (e.g., Reynolds & Reynolds).
- Experience with general accounting software (e.g., QuickBooks).
- Proficient in Microsoft Excel.
- Strong attention to detail and organizational skills.
- Excellent communication skills, both written and verbal, with a customer service focus.
- Ability to handle sensitive financial data with discretion and confidentiality.
- Ability to prioritize tasks and work in a fast-paced environment.
- Full-time, in-office position.
- Standard dealership business hours with possibility of occasional overtime during peak periods (e.g., month-end or year-end close).
Education and Experience:
- Associate’s or bachelor’s degree in accounting, finance, or related field preferred.
- Experience: Minimum of 1-2 years of experience in accounts receivable, accounting, or dealership finance roles.
Essential Duties & Responsibilities:
Invoice Management:
- Generate and process customer invoices for vehicle sales, service work, parts, and accessories, ensuring accuracy in pricing, taxes, and payment terms.
- Collaborate with the sales, service, and parts departments to ensure timely and accurate billing for vehicles and service-related charges.
Payment Processing:
- Process customer payments, including cash, checks, credit card transactions, and financing arrangements (e.g., down payments, trade-ins, and loan balances).
- Apply payments correctly to customer accounts, ensuring that accounts are updated in real time and balances reflect current payment status.
Accounts Reconciliation:
- Reconcile daily receipts and transactions with bank deposits, ensuring accuracy and completeness.
- Review and reconcile customer accounts to ensure all payments are applied correctly and any discrepancies are resolved promptly.
Collections:
- Monitor overdue customer accounts and initiate follow-up communications (calls, emails, or letters) to collect outstanding balances.
- Work with customers to arrange payment plans or settlements for overdue accounts while maintaining positive relationships.
- Assist with resolving billing issues, disputes, or discrepancies related to customer accounts.
Customer Communication:
- Provide excellent customer service by addressing customer inquiries regarding billing, payment status, or account discrepancies.
- Send out monthly customer statements, including details of outstanding balances and payment due dates.
Reporting:
- Assist with generating regular accounts receivable aging reports and help track overdue accounts.
- Support the preparation of monthly financial reports, ensuring accuracy and up-to-date information on accounts receivable balances.
General Accounting Support:
- Assist in the month-end closing process by ensuring all transactions are recorded, reconciled, and accounted for.
- Support the preparation of financial reports for management, highlighting key metrics related to accounts receivable.
Compliance & Documentation:
- Ensure all accounts receivable transactions are properly documented and comply with dealership policies and accounting standards.
- Maintain up-to-date and organized customer records for audit purposes.
