We are seeking an Operations Coordinator to support all offices under AIS CA and the senior leaders within the organization. The qualified candidate will join an exciting and fast-paced environment that will give the Operations Coordinator opportunities to shine in the role! . This role is pivotal in ensuring smooth operations across multiple locations, managing vendor relationships, coordinating schedules, and producing timely reports. The ideal candidate thrives in a fast-paced environment, communicates effectively, and demonstrates a strong attention to detail. The successful candidate must have excellent communication skills, be able to produce thorough and accurate work in a high profile and high-pressured environment and be able to juggle multiple tasks. Job Responsibilities Including But Not Limited To- Proactively manage the active and complex professional calendars of multiple senior level management team members
- Resolve scheduling conflicts quickly and prioritize issues to ensure an effective time management approach
- Work closely and effectively with executives to keep them informed of upcoming commitments and responsibilities
- Serve as a liaison between regional offices and corporate teams to ensure consistent communication and operational alignment
- Manage vendor relationships
- Prepare and distribute regular reports on office performance
- Coordinate scheduling for meetings, trainings, and events
- Assist with budget tracking and invoice processing
- Provide administrative support to Regional Managers
- Maintain organized records and documentation for compliance and operational efficiency.
- Support special projects and initiatives assigned
- Present a professional demeanor that positively represents the company when interacting with clients and co-workers
- Ability to seamlessly and professionally manage high stress situations and strong personalities while maintaining poise
- Build relationships crucial to the success of the company with the ability to understand and follow organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed
- Always maintain the highest level of discretion and confidentiality
- Perform other related administrative duties as requested or as responsibilities dictate
- Outstanding written and verbal communication skills
- Excellent team skills and customer service attitude
- Meticulous attention to detail
- Demonstrated ability to meet deadlines, prioritize assignments and juggle multiple tasks
- Highly resourceful, while working independently, effectively and proactively
- Strong proficiency in Microsoft Outlook and Teams. Proficient in Microsoft Word, Excel, and PowerPoint
