STATEMENT OF THE AGENCY:

Commonpoint is a non-profit, multi-service agency with flagship sites in Manhattan, Bronx, Queens: Little Neck, Bayside, Forest Hills, East Elmhurst, and Jamaica, with 80 additional sites throughout the community that provides a diverse array of programs and services to over 85,000 individuals. MINIMUM DESCRIPTION:

Commonpoint’s Youth Workforce Department comprises a number of different programs serving individuals predominantly from 14-24 years old. Ladders for Leaders, funded by the Department of Youth and Community Development (DYCD) provides paid professional internships to NYC youth between the ages of 16 and 24. Applicants are evaluated based on academic performance, response to an essay question, and résumé quality. Selected applicants will undertake 20-30 hours of pre-employment training designed to teach essential workplace readiness skills and professional etiquette. Participants will then have the opportunity to interview for summer internships at a variety of companies.

ABOUT POSITION:

The Program Coordinator supports the successful execution of the Ladders for Leaders program by managing daily operations, compliance documentation, and participant and employer engagement. Reporting to the Program Director, the Coordinator ensures smooth program delivery, accurate data tracking, and a positive experience for both participants and partners. This role supervises part-time administrative staff and provides essential logistical and operational support.

RESPONSIBILITIES:

Program Administration & Compliance:
  • Assist the Program Director in meeting all DYCD contractual obligations and ensuring programmatic targets are tracked and achieved weekly and monthly.
  • Enter, maintain, and update participant and employer data in YEPS, Salesforce, Google Workspace, and other systems.
  • Collect and prepare documentation for DYCD audits, ensuring files are accurate, complete, and confidential.
  • Track program metrics, including student applications, job placements, employer engagement, and payroll compliance.
  • Monitor program operations to ensure adherence to schedules, DYCD guidelines, and quality standards. Participant Recruitment, Enrollment & Support
  • Coordinate recruitment, enrollment, and onboarding of program participants, ensuring a seamless process from application to placement.
  • Review applications, confirm eligibility, and support communication of enrollment decisions.
  • Serve as a primary point of contact for participants, responding to inquiries and providing timely, professional communication.
  • Track attendance, orientation participation, and training completion.
  • Conduct follow-up with participants post-placement to gather feedback and assess outcomes.


Employer Engagement & Job Matching:

  • Collect and process employer job orders; match student qualifications with job requirements.
  • Support referral tracking, resume submissions, interview scheduling, and follow-up after placement.
  • Maintain and manage employer and participant databases for accurate reporting and accountability.
  • Participate in employer site visits and represent the program at career fairs and other community events.


Operations & Staff Support:

  • Schedule orientations, workshops, and events, including materials preparation and logistical coordination.
  • Supervise part-time Administrative Assistants, ensuring timely and high-quality completion of tasks.
  • Provide administrative support, including document preparation, meeting coordination, and correspondence drafting.
  • Manage workflow to ensure deadlines are met, priorities are addressed, and work is completed efficiently.
  • Collaborate with staff through participation in meetings, trainings, and planning sessions.


Program Evaluation & Improvement:

  • Support evaluation of new and existing program components using participant and employer feedback.
  • Contribute to continuous program improvement by identifying gaps and recommending solutions.
  • Maintain accurate and organized records, trackers, and digital files to support reporting and decision-making.


QUALIFICATIONS:

  • Bachelor's degree required.
  • 24 years of experience in program coordination, workforce development, youth services, or related field.
  • Strong interest in working with motivated high school and college students.
  • Demonstrated ability to build relationships with corporate partners, community leaders, and diverse stakeholders.
  • Results-oriented with flexibility to adapt to shifting priorities and deadlines.
  • Composed under pressure and responsive to feedback and changing needs.
  • Strong organizational, time management, and communication (written and verbal) skills.
  • Experience with data collection, research, and program evaluation.
  • Cultural competency and experience working with diverse populations.
  • Proficiency in Google Workspace, Microsoft Office, Salesforce (or similar CRM), and digital recordkeeping systems.
