Position Summary

The Utility and Accounting Coordinator plays a critical role in ensuring accurate, timely utility management and financial processing within a fast-paced property management company. This position is responsible for processing utility bills, managing utility setups and shutoffs, billing tenants appropriately, and supporting the accounting team with regular transactional work.

Key Responsibilities

Utility Management

  • Scan and enter all utility bills into Rent Manager upon receipt.
  • Bill back utilities paid by the company on behalf of tenants prior to rent statement distribution.
  • Maintain and update utility bill-back spreadsheets, particularly for shared utilities billed across multiple tenants.
  • Provide clear explanations of utility charges to Property Managers when requested.
  • Set up or terminate utility services as needed (e.g., when tenants move in/out or properties are sold).
  • Ensure common area utilities (not tenant-responsible) are set up for autopay.
  • Ensure utilities for vacant units are not set to autopay and are moved to tenant accounts upon move-in.
  • Monitor and review utility accounts monthly for unusual spikes in usage or billing issues.
  • Contact utility providers to address account or billing issues as necessary.

Financial Tasks

  • Book utility bills for auto-paid accounts monthly.
  • Book all other auto-paid expenses (e.g., insurance, taxes), excluding loan payments.
  • Scan and record checks, including internal Beal income checks.
  • Book labor and materials on a monthly basis.
  • Support the accounting department with additional tasks and responsibilities as assigned.
Requirements:

Qualifications
  • Previous experience in property management, accounting, or utility coordination preferred.
  • Proficiency with Rent Manager or similar property management/accounting software strongly preferred.
  • Strong attention to detail and accuracy in data entry and billing.
  • Excellent organizational skills and ability to manage multiple deadlines.
  • Strong communication skills, especially in explaining billing or account issues.
  • Proficient in Microsoft Excel and document scanning tools.
  • Self-motivated with a strong sense of accountability and follow-through.
