Position Summary
The Accounting Support Specialist provides administrative and accounting support for the financial operations of a property management company. This role assists with accounts payable, accounts receivable, tenant billing, owner reporting, account reconciliations, and financial record maintenance. The ideal candidate is detail-oriented, organized, and capable of managing multiple priorities while maintaining accuracy and confidentiality.
Key Responsibilities
- Process and enter invoices, payments, and accounting transactions into the property management software system.
- Assist with accounts payable functions, including vendor setup, invoice verification, and payment processing.
- Support accounts receivable activities, including tenant billing, rent collections, and account follow-up.
- Prepare and maintain financial records, reports, and supporting documentation.
- Reconcile bank accounts, tenant ledgers, security deposit accounts, and vendor statements.
- Assist with monthly, quarterly, and year-end closing processes.
- Respond to tenant, vendor, and property owner inquiries regarding billing, payments, and account balances.
- Maintain accurate electronic and physical filing systems for accounting documents.
- Support preparation of owner statements and financial reports.
- Monitor outstanding balances and assist with collection efforts as needed.
- Ensure compliance with company policies, accounting procedures, and applicable regulations.
- Assist with audits and special accounting projects.
- Perform other administrative and accounting duties as assigned.
Qualifications
Education
- Associate degree in Accounting, Finance, Business Administration, or related field preferred.
- Equivalent combination of education and experience may be considered.
Experience
- 1–3 years of accounting, bookkeeping, accounts payable, accounts receivable, or administrative support experience.
- Experience in property management, real estate, or related industries preferred.
- Familiarity with property management software is a plus.
Skills and Competencies
- Strong attention to detail and accuracy.
- Knowledge of basic accounting principles and practices.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Ability to prioritize tasks and meet deadlines.
- Excellent organizational and time-management skills.
- Strong verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive financial information.
- Customer service orientation when interacting with tenants, owners, and vendors.
Physical Requirements
- Prolonged periods of sitting and working at a computer.
- Ability to occasionally lift and carry files or office supplies up to 20 pounds
