Position Summary
The Administrative Assistant to the Superintendent serves as a key liaison connecting students, staff, administrators, the Board of Education, and the community. This position requires exceptional judgment, strict confidentiality, and a commitment to delivering outstanding customer service. The ideal candidate provides high-level administrative and secretarial support to the Superintendent and Board, manages sensitive communications, and takes initiative in advancing the district’s mission of excellence for every student.

Qualifications/Requirements
- High School diploma required. Associate degree or higher preferred.
- Notary Public certification required, or willingness and ability to obtain upon hire.
- Three (3) or more years of advanced secretarial or executive administrative experience with significant public-facing responsibilities.
- Experience in a public school district office strongly preferred.
- Completion of a skills assessment may be required as part of the selection process.
Knowledge, Skills and Abilities
- Proficiency with Google Workspace and Microsoft Office Suite, and the ability to learn district-specific software.
- Excellent written and verbal communication skills; ability to draft professional correspondence independently.
- Strong interpersonal skills and the ability to interact effectively with staff, Board members, students, parents, community members, and state agencies in a courteous and professional manner.
- Ability to handle sensitive and confidential matters with discretion and sound judgment.
- Highly organized with the ability to manage multiple priorities, meet tight deadlines, and maintain focus amid frequent interruptions.
- Analytical ability to evaluate complex situations, define problems, and determine appropriate courses of action without direct supervisor approval.
- Knowledge of state and federal reporting requirements applicable to Michigan public schools.
- Ability to communicate effectively with both technical and non-technical audiences at all organizational levels.
- Self-motivated, detail-oriented, and committed to continuous professional growth.
- Ability to establish and maintain positive, collaborative working relationships across the organization.
Duties and Responsibilities
Communication & Liaison
- Serve as the primary liaison between the Superintendent and internal/external stakeholders, including staff, administrators, Board members, legal counsel, and the public—maintaining strict confidentiality at all times.
- Screen, prioritize, and respond to inquiries on behalf of the Superintendent via phone, email, written correspondence, and in-person visits.
- Review, draft, and manage the Superintendent’s communications; maintain logs to track delegated matters and ensure timely follow-up.
- Gather, evaluate, and relay sensitive information from a wide range of sources including Board members, school administrators, attorneys and external partners.
- Read, summarize, and present materials to keep the Superintendent informed of relevant developments and issues.
- Interpret and communicate district policies, protocols, and administrative procedures; work with the Superintendent and legal counsel to revise and update policies for Board approval and publication.
- Compose, proof, and finalize a variety of professional documents including draft correspondence, reports, memoranda, and forms on behalf of the Superintendent, ensuring accuracy, clarity, and alignment with district standards.
Calendar & Administrative Management
- Manage the Superintendent’s calendar with attention to equitable scheduling, competing priorities, and strategic time management.
- Coordinate travel arrangements for Board members and administrators, including hotel reservations and conference registrations.
- Attend meetings on behalf of the Superintendent as assigned to gather and relay key information.
- Process and submit credit card expense reports and receipts for the Superintendent and Curriculum Director to the Finance Department, ensuring accuracy, proper documentation, and compliance with district purchasing policies.
Board of Education Support
- Assist in developing Board of Education meeting agendas and prepare comprehensive board packets for distribution to members, administrators, and the public via electronic board book.
- Attend all Board meetings—including special sessions and policy committee meetings—and prepare accurate minutes.
- Develop the weekly board memo for Superintendent review and incorporate feedback before distribution.
- Maintain Board and district event calendars, including coordinating Board member invitations.
- Assist in coordinating Board of Education elections during election years.
- Maintain official Board minute books and records of all Board actions and business.
Data, Reporting & Compliance
- Prepare state and federal reports (SID, CRDC, etc.) and maintain district data in the Educational Entity Master (EEM) with the State of Michigan.
- Respond to Freedom of Information requests.
- Oversee the Days & Clock Hours requirements to ensure the district school year calendar meets State requirements and student attendance obligations.
- Support and serve as backup for ICHAT criminal background checks for district volunteers.
- Support and serve as backup to the Registrar for the student enrollment process.
- Coordinate intra- and inter-district Schools of Choice programs; collaborate with the Registrar to monitor class sizes during the enrollment process.
Community & Staff Engagement
- Greet and assist members of the public who visit the District Office, providing a welcoming and professional experience.
- Support daily operations of the District Office, including ensuring consistent office coverage to receive and direct visitors.
- Make student referrals to appropriate school personnel with follow-up and documentation.
- Oversee the district’s staff events such as welcome back, staff appreciation, and years-of-service recognition program to ensure timely acknowledgment each year.
- Assist with the district website, including content review, updates, and compliance with district standards.
- Collaborate with the District Communications Coordinator to ensure consistent, timely, and accurate communication across all district channels, including website content, social media, newsletters, press releases, and community announcements; serve as a conduit between the Superintendent’s Office and the Communications Coordinator to align messaging with district priorities and initiatives.
- Support other District Office positions and perform additional duties as assigned by the Superintendent.
Compensation
Per Approved Salary Schedule: $29.22 to $29.81 per hour based on experience, full benefit package
Work Schedule
Full time, Year-round (52 weeks/year), Monday-Friday 8:00am – 4:30pm; evening meetings as needed
