The Receptionist will represent the face of the company as he/she welcomes and directs employees, customers, vendors and visitors. We are looking for an enthusiastic, well-presented and polite receptionist to support a large busy office. It is critical to this role to have the ability to interact with staff at all levels, welcome visitors and answer a multi-line phone system with a high level of professionalism.

Job Duties

• Answer, screen and forward incoming phone calls using an advanced multi-line VOIP system
• Ability to be resourceful and proactive when issues arise
• Maintain a welcoming environment and provide exemplary customer service for visitors, coworkers, and clients while you direct and announce them appropriately
• Maintain extreme confidentiality on tasks assigned by Executive team
• Manage outlook calendar for lower conference area
• Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
• Responsible for shipping, receiving, and distribution of packages, daily distribution of mail, forwarding mail to other offices, and maintaining incoming package log
• Assist with expense reporting to accounting with appropriate detail attached
• Binding financial packets and presentations as directed.
• Copying, scanning and handling end procedures of mass mailings
• Handle catering orders as needed, assist in organizing and executing special events.

• Ability to answer multi-line phone system

Qualifications

• Two years of administrative or customer service experience preferred
• High school graduate
• Efficient in Microsoft Office Suite
