Workplace Experience & Operations Coordinator
About the Role
Step into a role where you keep the office humming and help shape the everyday employee experience. As the Workplace Experience & Operations Coordinator, you’ll be the friendly face at the front desk, the calm behind the calendar, and the connector who makes communications, recruiting coordination, and internal events come together seamlessly.
From the first greeting of the day to the last meeting wrap-up, you’ll bring order, hospitality, and proactive problem solving to a fast-paced environment.
A Day in the Life
- 8:00 AM: Open the office, review messages, and confirm the day’s room reservations and meeting setups.
- Mid-morning: Support recruiting: update candidate and requisition records, prepare onboarding materials, coordinate interviews, and produce weekly/monthly activity reports.
- Late morning: Draft internal announcements, send calendar invites, and circulate newsletters or flyers to support HR and engagement initiatives.
- Afternoon: Welcome guests, answer calls and emails, manage conference room logistics, and keep common areas tidy and stocked.
- Throughout the day: Track participation in quarterly surveys, compile roll-up summaries for leaders, register employees for events, and follow up on attendance.
- As needed: Coordinate vendor visits and basic facilities requests; maintain visitor logs and badge access; file, distribute mail, and handle document routing.
Partnering to Make an Impact
You’ll collaborate closely with our Organizational Development Specialist on recruiting coordination, employee communications, training logistics, company events, and survey administration—work that helps create a positive, connected workplace.
What You’ll Bring
- 1–3 years in office administration or a similar administrative capacity.
- A proactive, solutions-first mindset and confidence juggling multiple priorities.
- Strong organization, accuracy, and follow-through.
- Clear written and verbal communication with a warm, team-focused approach.
- Fluency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Familiarity with ATS or HRIS tools is helpful.
- Discretion when handling sensitive or confidential information.
Work Setting
- On-site schedule during standard business hours (8:00–5:00).
- Frequent interaction with employees, leaders, candidates, and visitors.
- Ability to occasionally lift or move office supplies (up to 25 lbs).
- Occasional support for after-hours events or training sessions.
