Administrative Associate Accounts Receivable
Description
The Administrative Associate- Accounts Receivable is responsible for ensuring that the company receives payment for goods and services rendered to customers and applies customer payments accurately in the company’s Accounting software.

- None.
Duties/Responsibilities:
- Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable.
- Tracks banking transactions and balances to the bank account daily.
- Creates invoices according to company practices; submits invoices to customers.
- Creates RMAs and credit memos for customers with direction from other departments.
- Maintains and updates customer contact information, including name or address changes, mergers, or mailing attentions.
- Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent account holders to request payment.
- Creates reports regarding the current status of customer accounts as requested.
- Research customer discrepancies and past-due amounts with the assistance of the Administrative & Accounting Manager.
- Collaborates with the Administrative & Accounting Manager to reconcile accounts receivable on a periodic (at least bi-monthly) basis.
- Assists in generating monthly billing statements based on the general ledger.
- Assists Administrative & Accounting Manager in reconciling revenue accounts as part of the month end process.
- Collects customer references and reviews customer applications prior to management review.
- Copies, files, and retrieves materials for accounts receivable as needed.
- Relays changes of information to appropriate employees.
- Performs other related duties as assigned.
Requirements
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Ability to follow directions and work well in a team setting.
- Must be proficient in Microsoft Office Suite or related programs.
- Must be able to learn other accounting software systems.
- Always maintain 100% confidentiality.
- Ability to operate related office equipment, such as computers, 10-key calculator, and copier.
- Ability to work independently and in a fast-paced environment.
- Ability to anticipate work needs and interact professionally with customers.
- Excellent organizational skills and attention to detail.
Education and Experience:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting preferred.
- At least two years of related work experience required.
- Other certifications, training or requirements as may arise for this position as communicated by management.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Required to communicate, discern, convey, or exchange information with other teammates.
