The Service Writer is responsible for serving as the primary point of contact for customers at a heavy-duty truck repair shop. The Service Writer plays a key role in ensuring customer satisfaction by maintaining clear communication, providing accurate estimates, and managing the repair process from start to finish.

Responsibilities:

Customer Service:

  • Greet customers promptly and professionally, understanding their needs and concerns related to their heavy-duty trucks.
  • Serve as the liaison between customers and the service department, maintaining clear and consistent communication throughout the repair process.
  • Provide customers with accurate repair estimates, including labor and parts costs, and obtain approval before proceeding with any work.
  • Keep customers informed about the status of their vehicles and any changes in repair costs or completion times.

Work Order Management:

  • Prepare detailed work orders based on customer requests and technician diagnostics, ensuring all necessary information is documented.
  • Review completed work orders for accuracy, ensuring all services performed are properly documented and billed.
  • Ensure that all necessary parts are ordered and available for repairs, coordinating with the parts department as needed.

Scheduling and Coordination:

  • Coordinate with the service team to ensure repairs are completed on time and according to customer expectations.
  • Monitor work progress and follow up on any delays, proactively communicating with customers about changes.

Quality Assurance:

  • Review final repairs with technicians to ensure all work meets company standards and customer expectations.
  • Conduct post-service follow-ups with customers to ensure satisfaction and address any concerns.
  • Maintain a high level of accuracy in all paperwork, ensuring compliance with company policies and industry regulations.

Sales and Upselling:
  • Identify additional service opportunities based on vehicle inspections and customer history, recommending preventive maintenance or necessary repairs.
  • Educate customers about the benefits of additional services and products, driving sales and enhancing customer satisfaction.

Administrative Tasks:

  • Maintain organized records of all customer interactions, work orders, estimates, and invoices.
  • Process customer payments and ensure that all financial transactions are handled accurately and securely.
  • Assist in managing shop inventory by tracking parts usage and reordering as necessary.

Qualifications:

  • High school diploma or equivalent; vocational training in automotive or diesel technology is a plus.
  • Proven experience as a Service Writer, preferably in a heavy-duty truck repair environment.
  • Strong knowledge of heavy-duty trucks and related repair and maintenance procedures.
  • Excellent customer service and communication skills, with the ability to explain complex technical issues in a way that is understandable to customers.
  • Proficiency in using service management software and tools.
  • Strong organizational skills and attention to detail.
  • Ability to work in a fast-paced environment, managing multiple tasks and priorities effectively.
  • Sales experience or a strong aptitude for upselling is beneficial.
  • Ability to work effectively as part of a team and maintain positive working relationships with colleagues and customers.

Salary

$20 - $30 per hour
