We offer diploma programs in Naturopathy, Therapeutic Bodywork, and Doula Companion careers. The Institute has been operating for 29 years, and have cyclical enrollments two times a year. Main job purpose
The Administrative Assistant is the support person to the Chief Operations Officer and the Director of Education. Specific tasks will be assigned to this position that best assists these two positions, including, but not limited to working with student materials, instructor materials and classroom materials as directed; students, customers and clients, as well as working with routine scheduling of events as required.
Duties and responsibilities
· Coordinate instructor materials, student materials and classroom setup and supplies as needed for each scheduled weekend class as well as volunteers for final exams
· Assist with daily accounting of the store cash drawer, finding and correcting deficiencies as needed.
· Handle incoming calls to the Institute and directing to appropriate staff as needed
· Monitor general email box for the Institute, and forward to appropriate staff when necessary
· Greet visitors who enter through the Institute doors
· Assist with outbound phone calls.
· Maintaining, recruiting, and scheduling student clients to fill lab classes and collecting fees
· Maintain safe and key closet
· Student manual edits/electronic storage and production
· Maintain Postal machine
· Order supplies and materials for building
· Assist with graduation, special events and conferences
· Produce Student ID cards
· Place textbook orders as needed for each cohort rotation
· Maintain housing rosters and manage weekend key distribution
· Keep store forms, flyers, information cards, and gift certificates up to date and stocked
· Assist with prospective student tours when needed
· Create/Manage SOP manuals for all departments under NITE, Herbs, and NCC
· Cross-train with Assistant Store Manager in Herbs Etc store
· Manage staff birthday gifts and gatherings
· Send out monthly birthday cards to Herbs Clients/Customers
· Other duties as assigned.
Qualifications
Qualifications include but not limited to:
- Data entry skills along with a knack for numbers
- Hands-on experience with spreadsheets and proprietary software
- Proficiency in English and MS Office Word/Excel/Access
- High degree of accuracy and attention to detail
- Possesses a keen eye for organization
- Demonstrates strong interpersonal and customer service skills
- Works well with a team and independently
- Strong written communication skills
- Strong work ethic, and can-do attitude
- Reliable transportation, ability to work occasionally outside normal hours
- Willingness to learn new skills, and adjust to an ever-changing environment
- Can be helpful, enthusiastic, respectful, beneficial, positive attitude, and level-headed.
Working conditions
- This is a full-time position with occasional over-time hours added based on the time of year
- This position resides in a separate office due to the nature of responsibilities
Physical requirements
Physical labor such as lifting and moving heavy boxes of supplies may be required on a very limited basis.
