Kitch Attorneys & Counselors, PC is a law firm of approximately 200 employees with headquarters in Detroit, Michigan. Kitch is seeking to hire a full-time Billing Coordinator. Onsite work would take place in our Detroit office. After six months of employment there would be potential for a hybrid work arrangement in which up to two days per week could be worked remotely, however a hybrid work arrangement is not guaranteed. Excellent benefits and PTO policy; pay is commensurate with experience and qualifications.

A Billing Coordinator is responsible for executing the billing process for the firm. The individual will work with billing and accounting staff. The primary objectives of this role are to provide attorneys with draft bills of earned fees and expenses for review and editing. Approved work is to be billed and submitted to clients through various channels, which primarily includes third party sites and via email. This position requires a strong communicator with excellent interpretation, problem solving, and tech/navigation skills. Attention to detail, persistence and execution are key factors to success.

Position Responsibilities

• Reports directly to the Billing Manager.
• Reviews and understands client billing instructions and software requirements.
• Prepare, review, edit and maintain monthly proformas for an assigned group of clients in accordance with the firm’s existing policies and procedures.
• Correspond and follow up with attorneys to facilitate proforma reviews and approvals.
• Assemble all related expense documentation and spreadsheets used with multi-payor billing arrangements.
• Finalize and convert proformas into invoices and submit them using various methods including third party electronic uploads, email and postal service.
• Log any problem invoice submissions for monitoring and persistent follow up.
• Troubleshoot, communicate and resolve client invoice inquiries and proposed adjustments.
• Prepare and distribute ad hoc billing reports to attorneys and/or clients as needed.
• Day to day tasks include proforma edits, invoice generation, data entry, research, email, performing follow ups, navigating through billing websites, printing, scanning, and organizing.
• Ongoing collaboration with manager, attorneys, billing and accounting staff members.
• Communicate with Billing Manager any issues that arise which require special attention.
• Complete other duties as assigned in order to assist with individual and department performance.

Position Requirements

• Bachelor’s degree preferred or commensurate experience relevant to position responsibilities.
• Legal electronic billing experience in a law firm is preferred.
• Proficiency with Elite 3E software is preferred.
• Experience handling multi-payer billing arrangements using Excel is preferred.
• Technical skills required, including the ability to learn and adapt to using billing websites.
• Strong proficiency with Microsoft Outlook, Excel and Word.
• Excellent interpretation and problem solving skills.
• Excellent verbal and written communication skills.
• Strong attention to detail with the ability to maintain focus and retain information.
• Highly organized and motivated to facilitate workflow in a team environment.
• Receptive to direction and feedback.
• Contributes to process and workflow improvements.
