Position Summary
As a Title Agent you support exploration and production by researching, verifying, and documenting ownership rights for mineral, surface, and leasehold estates. Your work provides the foundation for drilling decisions, infrastructure development, and land acquisition.
You will complete chain of title from patent to present, prepare readable and defensible reports, and identify irregularities that could impact operations. The ideal candidate brings two to five years of title experience, thrives under clear expectations, and takes pride in delivering client ready work with minimal micromanagement.
Key Responsibilities
Title Research and Ownership Verification
- Conduct thorough title research for surface, mineral, and leasehold estates from patent to present
- Pull, review, and interpret deeds, leases, assignments, probate, easements, and tax records
- Identify gaps, discrepancies, and defects in the chain and flag issues early for review
- Confirm lease status including producing, non producing, and held by production
Reporting, Analysis, and Documentation
- Prepare detailed abstracts, run sheets, and ownership reports in chronological order
- Clearly separate factual entries from interpretive notes
- Highlight irregularities such as name variations, date conflicts, and missing instruments
- Summarize curative needs and document issues in a way that helps reviewers, attorneys, and clients understand the situation quickly
- Deliver clean, organized, client ready packets using Halo’s templates and formatting standards
Tools, Systems, and Research Methods
- Use county courthouse sites, online databases, tract indexes, and GIS tools
- Maintain organized digital files with hyperlinks, references, and source notes
- Apply best practices and SOPs when starting new projects, including using backchains and shared resources
- Navigate new counties and basins by finding and leveraging local online systems and courthouse support
Communication and Collaboration
- Communicate promptly with project managers, reviewers, and teammates about status, blockers, and progress
- Participate in office hours and apply feedback to improve clarity, format, and accuracy
- Maintain professional and concise written communication through notes, reports, and internal tools
- Support team members by sharing findings, backchains, and county knowledge to reduce duplicate work
What Success Looks Like
While every project is different, success in this role generally follows a progression.
Within 30 Days
- Fully onboarded to Halo systems, project templates, and land record tools
- Completed review of prior project examples to learn structure, formatting, and expectations
- Handles basic title assignments with guidance and incorporates initial feedback
- Communicates appropriately using Halo tools and understands when to escalate questions
Within 90 Days
- Independently completes moderate complexity tracts with review support
- Understands project goals and adjusts work based on whether it supports leasing, drilling, or acquisition
- Meets standard turnaround times while reducing repeat errors
- Applies reviewer feedback consistently and begins developing a personal workflow
Within 6 to 12 Months
- Operates with a high level of independence across multiple tracts, counties, or clients
- Demonstrates strong understanding of HBP, WI, NRI, and related ownership concepts
- Proactively identifies resources, contacts courthouses, and resolves research gaps
- Produces reports that require minimal edits and can be sent to clients with confidence
- Becomes a reliable resource for teammates and may be considered for reviewing or advanced assignments
Required Qualifications
- Two to five years of oil and gas title, land, or abstracting experience
- Strong understanding of mineral, surface, and leasehold title including HBP and heirship
- Ability to interpret legal instruments such as deeds, leases, conveyances, assignments, and probate
- Experience with courthouse research, online databases, GIS platforms, and public records
- Proficiency with Excel, Google Drive, Word, and basic PDF tools
- Strong organizational skills with the ability to produce clear, defensible, client ready reports
- Excellent written communication with the ability to explain complex chains clearly
- Must operate under a registered LLC or be willing to establish one
- Willing to obtain or currently hold an AAPL membership
