SUMMARY:
The Scholarship Specialist plays a critical role in supporting student access to education by identifying promoting
and administering scholarship opportunities. This individual works closely with prospective and current students
to guide them through the scholarship application process and collaborates with staff across departments to
increase student success and retention through financial support. The Scholarship Specialist will be a subject matter
expert providing essential information and data for relevant stakeholders including current and potential
students external agencies or foundations and internal financial aid staff members. This role is responsible for
tracking and reporting scholarship awards ensuring compliance with institutional policies and external regulations
to minimize audit risks and associated liabilities. The specialist will effectively communicate complex financial aid
information both internally with staff and externally with students ensuring clarity and consistency in all
scholarship-related matters.
ESSENTIAL FUNCTIONS:
Ensure the highest standards for all aspects of the scholarship process.
Manage and oversee the awarding of institutional state and private scholarships across designated
campuses.
Ability to handle multiple tasks and prioritize effectively.
Determine eligibility based on the cost of attendance in compliance with standard financial aid practices.
Work with the financial aid teams to integrate scholarship funding into students overall financial aid
packages.
Research identify and maintain up-to-date information on internal and external scholarship opportunities.
Proactively match eligible students with available scholarships and assist in the application process.
Evaluate scholarship applications for completeness and accuracy ensuring alignment with eligibility criteria.
Oversee timely and accurate processing of scholarships.
Communicate regularly with the campus financial aid teams about deadlines required documentation and
award decisions.
Provide support to campus financial aid teams as a resource for scholarship issues and questions.
Prepare reports on scholarship activity success rates and outcomes.
Coordinate scholarship-related events such as workshops info sessions and trainings.
Ensure consistent processing awarding and distribution of funds to eligible students in a timely accurate
and equitable manner.

Strong team player with a solid work ethic adept at managing multiple tasks and meeting deadlines.
Proficient in operating standard office equipment and skilled in Microsoft Office Suite and related computer
applications.
Excellent time management skills with the ability to perform well under pressure.
Highly organized and resourceful with strong multitasking prioritization and problem-solving abilities.
MINIMUM QUALIFICATIONS:
High school diploma or equivalent (GED) required.
Must be student-focused individual with a passion for education.
Willingness to learn scholarship program rules financial aid terminology and college systems.
Excellent organizational skills including attention to detail and the ability to maintain accurate records and
files.
Familiarity with Title IV federal aid regulations and scholarship compliance preferred.
Willingness to work hours extended hours beyond the typical work week when necessary.
Working Conditions:
Extensive use of office equipment including personal computer multi-line phone system copier printer
and facsimile.
Ability to communicate effectively with varied management levels within the organization.
PHYSICAL DEMANDS:
The physical demands described here are representative of those that must be met by an employee to
successfully perform the essential functions of this job. While performing the duties of this job the employee
is regularly required to see talk and hear. The employee is frequently required to stand; walk; sit for extended
periods of time; and have sufficient hand arm and finger dexterity to operate a phone computer keyboard
and other office equipment.
