LEGAL ASSISTANT


Overview

We are seeking a dedicated and detail-oriented Legal Assistant to join our legal team. The ideal candidate will support attorneys handling primarily real estate and business law transactional work and certain litigation matters, while ensuring that all administrative tasks are executed efficiently. This role requires strong organizational skills and the ability to manage multiple tasks in a very fast-paced environment.


Duties

  • Support attorneys with drafting real estate and business legal documents, contracts, pleadings, and correspondence while maintaining high standards of proofreading and transcription accuracy
  • Support litigation processes through document review, research, filing, and data organization to streamline workflow, including trial preparation assistance
  • E-filing in state and federal courts
  • Maintain meticulous case files, track deadlines, and manage calendaring for court dates and statutory requirements
  • Assist with new business intake process (submit new matters for intake into case management system, perform conflict checks, and schedule consultations)
  • Communicate professionally and promptly to general client inquiries, which may be billable or non-billable, and meet client requests and expectations in a timely and consistent manner (e.g., document revisions, scanning records to PDF, applying naming conventions to file, etc.)
  • Update, organize, and maintain legal documents in the firm's case management system
  • Maintain strict confidentiality regarding firm and client matters
  • Process daily time entry

Qualifications

  • Prior paralegal or legal assistant experience in a law office
  • Strong research skills with the ability to analyze legal documents
  • Proficient in administrative tasks, including filing, data entry, and document management
  • Ability to work independently as well as collaboratively within a team environment
  • Strong written and verbal communication skills
  • Aptitude for organizing work, managing competing priorities, meeting deadlines, and following up on assignments with minimum direction
  • Computer proficiency in Microsoft Office software (Word, Outlook, Excel) and Adobe; experience with Clio is a plus.
