Notre Dame Fund Gift Officer

Position Summary:
The Annual Fund Gift Officer is responsible for the strategic planning, execution, and growth of Notre Dame Preparatory School’s annual giving proram. This role focuses on securing unrestricted and restricted annual gifts, increasing donor participation, and building a sustainable pipeline of future major gift donors.

The Annual Fund Gift Officer engages parents, alumni, grandparents, faculty/staff, and friends of Notre Dame Preparatory School through a comprehensive, multi-channel fundraising approach, while promoting a culture of philanthropy rooted in Notre Dame Prep’s values and stewardship.
Essential Functions:



Annual Fund Strategy and Execution

  • Develop and implement a comprehensive annual fund plan to meet participation and revenue goals through the following, but not limited to, initiatives:
  • Giving society membership
  • Alumni giving efforts
  • Manage all aspects of the annual fund cycle, including:
  • Solicitation strategy
  • Messaging and case for support
  • Calendar planning
  • Oversee multi-channel campaigns, including:
  • In-person visits
  • Phone outreach
  • Direct mail
  • Email and digital appeals
  • Social media campaigns
  • Giving days

Donor Solicitation and Relationship Management

  • Personally solicit leadership-level annual gifts (typically $1,000–$25,000+).
  • Manage a portfolio of 100-150 annual fund donors and prospects with capacity for leadership annual gifts.
  • Conduct donor outreach through calls, meetings, and personalized communications.
  • Build and maintain relationships with parents, alumni, grandparents, and community supporters.
  • Develop targeted strategies to engage first-time donors and re-engage lapsed donors.
  • Promote a culture where participation is as important as dollars raised.

Pipeline Development

  • Identify and qualify annual donors with potential to become major gift prospects.
  • Partner with the Major Gift Officer to transition high-capacity donors into major gift portfolios.
  • Track donor behavior and giving patterns to inform pipeline growth.

Stewardship and Donor Retention

  • Ensure timely acknowledgment of all annual gifts.
  • Develop and execute stewardship strategies that reinforce donor impact and encourage repeat giving.
  • Create donor-centric communications highlighting:
  • Student success stories
  • Faith formation
  • Academic and extracurricular achievements
  • Implement retention strategies to increase year-over-year giving.

Data Management and Analytics

  • Maintain accurate donor records and engagement activity in the CRM system.
  • Analyze campaign performance and donor trends to optimize future strategies.

Collaboration and Internal Partnerships

  • Work closely with:
  • Communications/Marketing team on messaging and branding
  • Admissions team to engage current families
  • Alumni relations to increase alumni participation
  • Support Advancement events that contribute to annual fund success.

Mission Integration

  • Articulate Notre Dame Prep’s mission in all communications and donor interactions.
  • Promote giving as an act of stewardship and commitment to Notre Dame Prep’s education.
  • Ensure messaging reflects the formation of students as Christian People, Upright Citizens, and Academic Scholars.

Minimum Qualifications:

  • Bachelor's degree
  • Minimum two years of fundraising or comparable work experience. (Internships, volunteer work, and other experience gained during the completion of degree programs may be counted towards these requirements)
  • Demonstrated success in fundraising or comparable revenue-generating roles preferred.
  • Ability to maintain a consistent 8:00am - 4:00pm on-site schedule and provide flexible coverage for evening or weekend requirements as needed.

  • Ability to maintain confidentiality and handle sensitive donor information.
  • Proficiency in CRM systems, Google systems and/or Microsoft Office Suite.

Work Environment:
This is a 100% in-person position based on the Notre Dame Preparatory School campus. As a Gift Officer, you will work in a professional, mission-driven office environment that requires daily collaboration with colleagues, faculty, and students.

  • Standard Schedule: The core working hours are Monday through Friday, 8:00 AM – 4:00 PM.
  • Flexibility Requirements: Due to the nature of the Advancement cycle, this role requires frequent local travel for donor visits and a flexible schedule to accommodate evening and weekend commitments. This includes attending school events, committee meetings, and donor receptions (e.g., Homecoming, Gala, or Giving Days).
  • Occasional out-of-state conference travel could be necessary.
  • Physical Demands: Applicants should be comfortable navigating a campus environment and possess a valid driver’s license for off-site donor meetings.
