We are seeking a highly organized, detail-obsessed, self-motivated Executive Assistant to manage operational, administrative, and creative tasks at the Irene’s. You will serve as the right hand to the Executive Director, ensuring operations run seamlessly and that priorities stay on track. This is not just calendar management. It’s a key leadership-support role with impact throughout the school.

In This Role You Will

· Partner closely with the Executive Director to recruit new teachers and apprentices.

· Maintain and organize faculty and staff files, ensuring instructor contracts are current.

· Implement directives and support planning for the Executive Director.

· Filter and organize incoming mail, files, and workflow so the Executive Director’s tasks stay focused and efficient.

· Assist the Executive Director in planning inservice trainings.

· Identify inefficiencies and propose improvements for organizational success.

· Create and manage a master scheduling system, coordinating all classes, classrooms, and equipment to ensure every detail is accurate and confirmed.

· Develop strong relationships with faculty and staff members to foster collaboration.

· Schedule faculty and staff meetings.

· Collaborate with the Executive Director to annually update catalogs and marketing, ensuring all program names, dates, descriptions and pricing are correct.

· Prepare and coordinate milestones, including first-day materials and graduations.

· Track timelines, follow through on initiatives, and ensure deadlines are met.

· Draft and proof communications ensuring messaging is clear and professional.

· Oversee the student refund process, ensuring deadlines and compliance are met.

· Oversee edits in Irene’s textbook and order new editions.

· Experience as an Executive Assistant or senior administrative role.

· Mastery of Microsoft Office and digital organization tools.

· Impeccable written and verbal communication skills.

· The ability to create solutions in challenging situations.

· A self-starter who works well in a team and excels at working independently.

· Must be able to work efficiently to meet deadlines with an excellent attention to details.
