The Talent Acquisition Operations Specialist plays a critical role in ensuring seamless hiring experience for candidates and internal stakeholders. This role is responsible for managing the offer letter creation process, supporting candidate onboarding, and overseeing the contingent worker (CWR) conversion process. The ideal candidate is detailed-oriented, highly organized, and passionate about delivering exceptional operational support within a fast-paced talent acquisition environment.

What you’ll do on a typical day:
- Generate accurate and timely offer letters in alignment with company policies and compensation guidelines
- Collaborate with recruiters and HR partners to ensure offer details are complete and compliant
- Maintain templates and documentation to support consistency and compliance across offer letters
- Facilitate onboarding activities for new hires, ensuring all required documentation and system entries are completed
- Partner with Recruiter to troubleshoot onboarding issues
- Monitor onboarding progress and follow up on outstanding tasks or documentation
- Serve as the primary point of contact for managing the conversion of contingent workers to full-time employees
- Coordinate with recruiters, hiring managers, and HR to ensure compliance and visibility
- Maintain accurate records and documentation in the applicant tracking system (ATS) and other HR platforms
- Identify process improvement opportunities and contribute to the development of SOP’s and training materials
- Ensure compliance with internal policies, employment laws, and data privacy regulations
What you need to succeed at GXO:
At a minimum, you’ll need:
- 1 year of experience in talent acquisition operations, HR coordination or related field
- Strong attention to detail and ability to manage multiple priorities
- Excellent communication and interpersonal skills
- Proficiency in ATS platforms (e.g., Workday, SuccessFactors, or similar) and Microsoft Office Suite
It’d be great if you also have:
- Associate degree or equivalent related work or military experience
- Positive, can-do attitude; willingness to contribute ideas and expertise
- Ability to work independently and in a team environment
- Ability to maintain a high level of confidentiality
