Position Summary:
The Executive Assistant offers high-level administrative support to the President, Executive Director and the Director of Operations and Finance, enabling efficient and organized leadership across LCM. This role demands exceptional attention to detail, professional discretion, and the ability to manage sensitive financial and organizational information with integrity.
Core responsibilities include calendar management, internal and external communication, financial administrative support, and coordination of meetings and special events. The ideal candidate demonstrates a foundational understanding of financial processes, strong interpersonal skills, and a genuine heart for ministry.
Key Responsibilities:
President and Executive Director Support
Manage and maintain the Executive Director’s complex calendar, including appointments, meetings, and travel arrangements.
Prepare and organize materials for meetings, presentations, and conferences.
Take minutes during bi-annual board meetings.
Screen and prioritize incoming communications (emails, phone calls, mail).
Draft correspondence, reports, and other documents.
Handle confidential information with discretion and professionalism.
Conduct research and compile data as needed.
Assist with expense reconciliation and documentation as required.
Communication and Coordination
Serve as primary contact between executive leadership and internal/external stakeholders.
Facilitate communication with staff, board members, donors, and ministry partners.
Coordinate logistics for meetings involving internal teams, pastoral partners, and external community leaders.
Organize events, managing schedules, catering, materials, and follow-up.
Maintain organized digital and physical filing systems.
Finance and Operations Support
Greet visitors warmly, embodying a welcoming office environment.
Prepare and distribute meeting agendas, minutes, and related documents.
Maintain and update databases and filing systems.
Assist with presentations and report preparation.
Provide general administrative support to finance and operations teams.
Support FACTS tuition billing, payments, and management of past-due accounts.
Demonstrate flexibility in adapting to changing priorities.
Qualifications:
Christian Faith:
Profess and demonstrate a personal commitment to Jesus Christ as Lord and Savior.
Adherence to Christian principles and values in both personal and professional life.
Educational Background/Experience:
Proven experience as an Executive Assistant; nonprofit or ministry experience preferred.
Strong organizational, time management, and multi-tasking abilities.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with financial or donor databases is a plus.
Ability to manage confidential information with discretion and professionalism.
Strong interpersonal skills with a team-oriented and servant-hearted approach.
Ability to work independently and collaboratively in a fast-paced environment.
High school diploma required; Bachelor’s degree preferred.
Successful completion of a background check is required.
