Administrative Assistant
Job Description

Calendar management (schedules and manages meetings in complex and matrixed environment) - anticipates needs and proactively manages conflicts in schedules.

Travel planning and management.

Expense management for executives.

Reporting/tracking as needed (i.e. membership, purchase orders, etc.)

Assist with meeting materials and preparation (presentation materials, aligning vendors, logistics, assisting attendees).

May assist executive with organization and people administrative tasks in myHR system.

Basic budgeting (using clients select application to enter, manage, and track budgets for the department).

Provides direct assistance to a business leader and works on special assignments related to leader's function. Manages access to leader, maintains and modifies leader's schedule. Ensures leader is made aware of issues that need immediate attention. Handles confidential business matters and maintains smooth operation when leader is unavailable. Typically has broad knowledge of how the leader's function operates, company policies and procedures, and handles confidential and sensitive information for the leader.
Pay Range: $20.00-$23.00 depending on experience level
Exact compensation may vary based on several factors, including skills, experience, and education. Benefit packages while on contract for this role will start on the 31st day of employment and include medical, dental, and vision insurance, as well as HSA, FSA, and DCFSA account options, and 401k retirement account access with employer matching. Employees in this role are also entitled to paid sick leave and/or other paid time off as provided by applicable law.

Skills and Requirements

1 year of experience in a similar or related administrative role.
-
Demonstrated ability to juggle multiple and conflicting tasks in a fast paced environment.
-
Strong written & verbal communication skills (internal & external).
-
Strong organizational skills.
-
Local to Grand Rapids, MI (in-office expectations 4x/week - Monday through Thursday).
-
32 hrs/week - no expectations for travel or overtime. General business hours will be around 8/8:30am-4:30/5pm EST.
