People Operations and Office Services Specialist

As our People Operations and Office Services Specialist, you’ll blend hospitality, coordination, and administrative excellence to keep our workplace running smoothly while supporting people programs across communications, recruiting, events, surveys, and training.
What You’ll Own
Employee Communications & Engagement
- Produce internal messages, monthly updates, flyers, and newsletters that keep everyone informed.
- Coordinate company events and recognition moments (birthdays, anniversaries, and more).
- Register employees for activities, track attendance, and follow up on participation.
- Monitor quarterly survey response rates and assemble summary insights for leadership.
Talent & Training Coordination
- Maintain candidate and requisition records; support interview scheduling and logistics.
- Prepare onboarding materials to ensure new hires have what they need on day one.
- Create weekly and monthly reports to keep stakeholders aligned.
- Assist with training logistics alongside the Organizational Development Specialist.
Office & Front-of-House Operations
- Warmly greet visitors, answer calls and emails, and serve as a helpful first point of contact.
- Manage room bookings and meeting setup, including materials and on-site support.
- Keep common areas organized; monitor and replenish office supplies.
- Handle filing, mail, and document distribution; coordinate basic maintenance and vendor calls.
- Uphold visitor security processes, including guest logs and badge access.
About You
- 1–3 years in office administration or a related role.
- Self-starter who can manage competing priorities in a fast-moving environment.
- Meticulous organization and attention to detail.
- Clear, friendly communication skills—written and verbal.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Experience with an ATS or HRIS is a plus.
- Trustworthy with confidential information.
Schedule & Environment
- On-site presence during standard hours (8:00–5:00).
- Regular collaboration with team members, leaders, candidates, vendors, and guests.
- Occasional lifting or moving of supplies (up to 25 lbs).
- May be asked to assist with after-hours trainings or events periodically.
You’ll work closely with our Organizational Development Specialist to deliver smooth recruiting processes, engaging communications, and well-orchestrated trainings and events.
