Position Description Summary:
The Administrative Services Clerk provides comprehensive administrative, facility, logistics, mail processing, and customer service support to the United States Attorney's Office (USAO), Eastern District of Michigan. This position plays a critical role in maintaining daily office operations and continuity of services through front office support, facility coordination, inventory management, visitor services, mail operations, and logistical support activities in a fast-paced environment with competing priorities.
Responsibilities:
Administrative Operations Support
• Serve as a primary or alternate point of contact for administrative operations.
• Greet and assist visitors, vendors, contractors, and staff professionally.
• Answer, screen, and route incoming calls and correspondence.
• Maintain visitor logs and coordinate visitor access procedures.
• Monitor shared administrative mailboxes and route requests appropriately.
• Coordinate conference room scheduling and meeting logistics.
• Provide general clerical and administrative support to management and staff.
· Facility and Logistics Support
• Coordinate maintenance requests, repairs, and vendor access.
• Assist with office moves, workstation setups, and office reconfigurations.
• Move, assemble, and arrange office furniture, supplies, and equipment.
• Conduct facility inspections and identify maintenance needs.
• Perform inventories of furniture, equipment, and administrative property.
• Assist with fleet vehicle coordination, maintenance scheduling, and recordkeeping.
· Supply and Inventory Management
• Receive, verify, store, and distribute office supplies and equipment.
• Maintain inventory records and supply storage areas.
• Track inventory levels and identify replenishment needs.
• Support property accountability and disposal/transfer activities.
· Mail Processing
• Receive, sort, distribute, and dispatch incoming and outgoing mail and packages.
• Monitor overnight shipping services and ensure compliance with office procedures.
· Security and Access Coordination
• Support key control, access card administration, and visitor access processes.
• Assist with facility security and access control procedures.
• Report safety, security, and operational concerns as needed.
· Additional Duties
• Perform other related administrative and operational duties as assigned
Skills & Experience:
Required Experience
• Minimum of 1–2 years of experience in an administrative, office support, legal, or related environment.
• Experience providing customer service and administrative support.
• Experience managing multiple priorities and working under deadlines.
Required Skills
• Strong verbal and written communication skills.
• Excellent organizational and time management abilities.
• Ability to multitask and adapt to changing priorities.
• Professional customer service and interpersonal skills.
• Proficiency with:
o Microsoft Word
o Microsoft Excel

o Adobe Acrobat (including PDF creation and document management)
• Ability to operate standard office equipment including copiers, scanners, fax machines, and mail metering equipment.
• Knowledge of administrative operations, logistics support, inventory management, records management, and mail operations.
• Physical Requirements
• Ability to stand, walk, bend, kneel, reach, and move throughout office and storage areas.
• Ability to lift, carry, move, and reposition furniture, equipment, and supplies weighing up to 80 pounds, with or without assistance.
• Ability to utilize hand carts, dollies, and other material handling equipment.
Education:
High School Diploma or GED required
Bachelor's degree from an accredit college preferred.
Security Clearance Required:
• Must be a U.S. Citizen.
• Must possess a valid state-issued driver's license.
• Must successfully pass a Department of Justice Minimum Background Investigation prior to beginning work onsite.
