Job Summary
The Clerical Administrative/Medical Assistant provides dual support to the Chief Nursing Officer (CNO) of Adult & Pediatric Medicine, balancing administrative office responsibilities with clinical tasks as needed. This hybrid role is designed for a highly organized individual with medical assistant training who can support leadership functions, ensure efficient patient care operations, and occasionally assist in clinical settings.

Key Responsibilities:
  • Manage the CNO’s schedule, coordinate meetings, prepare agendas, and document minutes.
  • Draft, edit, and distribute reports, policies, and departmental communications.
  • Maintain departmental records, compliance documentation, and confidential files.
  • Assist with budget tracking, purchasing requests, and staff scheduling coordination.
  • Support preparation for audits, accreditation surveys, and regulatory reporting.
  • Greet and room patients when assisting in clinic; obtain vitals, medical histories, and update EHR records.
  • Prepare and maintain exam rooms, ensuring proper infection control and supply levels.
  • Assist with basic clinical procedures (e.g., injections, EKGs, specimen collection) within scope of practice.
  • Perform phlebotomy and administer vaccines as directed by clinical leadership (if certified/credentialed).
  • Support coordination of employee health requirements (e.g., TB testing, immunization records, annual screenings).
  • Provide backup coverage for medical assistants within Adult & Pediatric Medicine when staffing gaps occur.
  • Collect and compile nursing performance metrics.
  • Track compliance requirements for nursing staff certifications, licensure, and mandatory trainings.
  • Act as a liaison between the CNO, physicians, clinical staff, and patients to ensure timely communication.
Qualifications:
  • High school diploma or equivalent required; completion of an accredited Medical Assistant program preferred.
  • CMA, RMA, or CCMA certification strongly preferred.
  • Minimum 2 years of experience in a healthcare/clinical setting, with both administrative and clinical responsibilities.
  • Prior experience supporting leadership in a medical office or hospital setting highly desirable.
  • Proficiency in medical terminology and electronic health record (EHR) systems.
  • Excellent organizational and multitasking skills with strong attention to detail.
  • Strong interpersonal and communication skills, with a professional and empathetic demeanor.
  • Ability to balance clerical work with hands-on clinical duties as needed.
  • Knowledge of HIPAA, OSHA, infection control, and healthcare compliance standards.
  • Proficiency in Microsoft Office including Excel
