We are a small CPA firm seeking an individual with both administrative and bookkeeping/payroll/tax experience to assist the owner. The ideal candidate will be able to handle a multitude of tasks while interfacing between clerical management and accounting/tax responsibilities. This position is currently part time from May 1 through December 31 and full time from January 1 through April 30, however, full time hours may result for a person demonstrating the ability to handle additional bookkeeping and work load.
Daily, monthly, and yearly bookkeeping, payroll and tax preparation utilizing QuickBooks, Lacerte and After the Fact software for a variety of owner-operated business. Frequent client contact via email and voice with hands on involvement in client planning, cash management, client vendor management, employee payroll tax records, tax preparation, insurance audits and processing. Daily involvement with clients and tax agencies for online filings, payments, client bookkeeping and payroll accuracy and delivering payroll to clients.
Bookkeeping responsibilities include but not limited to data input, account reconciliation and analysis, journalizing payroll, credit card review and input, journal input, copying client data, managing accounts payable, paying client vendors, report generation and property and equipment accounting.
Payroll responsibilities include but not limited to review of payroll hours, input of payroll data, employee record management, online and manual weekly, monthly, quarterly and annual filing preparation and processing, managing payroll deposits, ordering payroll related supplies, updating payroll software, coordinating and completing workers compensation audits, accessing outside payroll providers for data and delivering payroll documents.
Tax preparation responsibilities include but not limited to individual and business income tax preparation and processing, copying client data and processing tax organizers for individual clients. Daily client data management and tracking. Ordering tax preparation supplies. Client interface for data follow-up. Online business form preparation and filing. Personal property tax return processing.
Receptionist/administrative responsibilities
Open and close office, manage alarm system, Greet clients and guests arriving in lobby, Daily contact with clients for bookkeeping, payroll and tax data, Receive business phone calls and emails, manage response follow-up, Receipt and track client documents, download and print emailed materials, Copy and organizing client data, fax documents, bank deposits, Assist as able with data input for bookkeeping, payroll and tax preparation, Processing of firm products including bookkeeping, financial statements, payrolls and tax returns, Receive and process payments from clients and tenants, Filing and locating documents, File, docket, label and envelope preparation and management, Mail in and out, shipping/going to Fed Ex, Certified mail, postage management, Client deliveries, Manage office supplies, document shredding, copier and printer supplies, Updating and managing all client instruction cover sheets, addresses and labeling, Work well by yourself, able to manage daily duties for clients.
