ASSISTANT DIRECTOR / INTERNAL OPERATIONS / ATHLETICS
The Assistant Director of Internal Operations plays a critical role within the Athletics Department by overseeing operational logistics for all Olympic sport programs and assisting with Football and Men’s/Women’s Basketball. This position is responsible for planning and managing team and staff travel, coordinating recruiting visits, and ensuring compliance with NCAA , university, and departmental guidelines. It serves as the Athletics Business Office ( ABO ) liaison to several sports, managing financial processes and purchasing related to travel and recruiting. In addition, the position provides secondary support for administrative operations related to student, temporary, and graduate assistant employment, working collaboratively with office staff on timekeeping, personnel transactions, and other department business needs.
Required Qualifications: Bachelor’s degree or an equivalent combination of education and experience equating to four years.
Experience in a professional office setting.
Exceptional interpersonal and communication skills.
Strong attention to detail and organizational skills.
Ability to multitask and meet deadlines.
Understanding of purchasing and payables procedures.
Strong computer skills including MS Office Suite software.
Ability to perform the essential functions of the position with or without reasonable accommodation.
Experience with HR systems (e.g., PeopleAdmin, CMU Personnel Transactions).
Familiarity with university hiring and payroll procedures.
Prior involvement with student-athlete support or team operations at the collegiate level.
Coordinates travel logistics for all NCAA Olympic sports teams; assists with travel for Football and Basketball programs.
Negotiates and secures transportation, lodging, and meals in coordination with Athletics Business Office ( ABO ), Compliance, and sport staff.
Monitors and reconciles all recruiting and travel expenses in line with NCAA , university, and departmental guidelines.
Liaison with ABO for team and staff travel budgets and credit card reconciliations.
Manages recruiting visits and official trip coordination for sport administrators, coaching staff, and GAs.
Oversees game day operations, including staffing, logistics, and facility readiness.
Processes RFPs for charter flights (excluding Football).
Maintains and distributes team travel and competition schedules for internal awareness and compliance.
Assists with NCAA postseason travel and gymnastics/game officials contracts and logistics.
Facilitates motor vehicle records ( MVR ) and risk management communications related to team travel.
Assists with processing all personnel transactions for graduate assistants, temporary, and student employees.
Supports hiring workflow in systems such as PeopleAdmin; assists with interview logistics and onboarding.
Assists in TimeClock Plus oversight: data entry, exception time, and timesheet corrections for 400+ student/temp staff.
Collaborates with office staff on reconciliation and coding of department credit cards and reimbursements.
Creates and distributes student worker and payroll reports.
Serves as a backup for administrative tasks related to FMLA , worker’s compensation, and employee reimbursements.
Supports Athletics Business Office team with projects and administrative duties as assigned.
Maintains communication with internal and external stakeholders regarding travel safety, budget compliance, and hiring procedures.
Completes ticket office reconciliations and deposits.
Ensures all credit card statements are turned in and processed.
Processes team travel budget development.
Completes all tax exempt forms.
Completes travel facility insurance requests.
Responsible for completing purchasing requests for all travel.
Responsible for travel accounts payable.
Ensures all bus travel meets insurance requirements.
Designated as the department contact for the enterprise account.
Coordinates multiple team rosters, schedules, and events.
Provides team schedules to various athletics employees to promote awareness of home games, travel times, and etc.
Coordinates with the risk management team regarding travel rosters.
Informs the risk management team of all travel information via the Proposed Educational Trip form.
Confers with travel agencies as needed and other coaching/administrative travel arrangements as needed (professional development, etc.).
Coordinates NCAA or other post season travel.
Assists with gymnastics officials contracts, including contract development and travel.
Assists with other game officials.
Coordinates with local police departments where athletic teams travel to obtain information on local crime during team stays in order to comply with the Clery Act.
Complete special projects and duties as assigned by the Director of Internal Operations or other departmental leadership.
