Job Summary
The Department Assistant will provide administrative support for department management to ensure continuity of daily department functions and operations by collaborating to provide and present department information. This position coordinates with department management to provide administrative services in conjunction with department and business line goals and objectives.
Position Requirements:This is an onsite position located at 2742 Weadock Highway, Essexville, MI. Only local candidates will be considered; no per diem is available. Remote or hybrid work arrangements are not permitted.
The role is based at an active construction site, operating out of a field trailer. Candidates must have access to a personal vehicle for site entry via gravel roads. A Motor Vehicle Record (MVR) check is required as part of the hiring process.
Additional Requirements:
Work boots are mandatory and not reimbursable.
Work schedule: Monday through Friday, 7:00 AM to 5:30 PM (5/10s), with occasional weekend work as required by project needs.
Overtime will be compensated in accordance with state law for hours worked beyond 40 per week.
Job Description
- Assist with time entry for field craft payroll weekly.
- Assist with verifying time entered into jobsite badging system and advise on corrections as needed.
- Assist with submitting and obtaining craft correction paychecks.
- Assist with data entry into jobsites IRA tracking log.
- Assist with adding apprentice information in Baker Tilly database
- Assist with new hire paperwork and ensure accuracy and completion prior to sending to payroll.
- Assist with general document control processes.
- Assist with UPS/FedEx deliveries at the office and ensure they get to the shipper.
- Assist with managing the office supplies and orders as needed.
- Assist with miscellaneous event and training set up.
- Additional duties would be finalizing orientation paperwork for our Spanish speakers, assisting with day-to-day Spanish speaking with crew members, and translating documents/paperwork as needed.
Skills Required
- Minimum of two years’ experience in an administrative or coordinator function, preferably in a construction environment.
- Possess exceptional organizational, communication (written and oral) and prioritization skills.
- Ability to work autonomously.
- Fulfill and complete urgent needs.
- Present self with a professional, mature, and positive demeanor.
- Ability to work with a variety of personalities.
Education/Training/Certifications
- High School Diploma or GED equivalent.
