Experienced Medical Assistant

The BOYD team's Medical Assistant supports the surgeon, injectors, and aesthetic providers across the full patient journey — from intake and pre-operative preparation through treatment support, post-operative follow-up, and recovery check-ins. The role is equal parts clinical and hospitality: the assistant is responsible for accurate clinical documentation and sterile, compliant treatment rooms, and equally responsible for the patient feeling cared for, informed, and comfortable at every touchpoint. The assistant also supports consultations, recommends and sells skincare and treatment packages, and owns patient follow-up between visits. This position suits someone with prior clinical or high-touch service experience who works quickly without appearing rushed, charts with integrity, protects patient privacy instinctively, and takes ownership of the details that make a practice feel polished.

Reports to: Practice Manager / Lead Provider

Experience level: 1–3 years in a clinical, aesthetic, or high-end service environment

Patient Intake and Preparation

  • Greet and room patients, confirm identity, and review the reason for the visit.
  • Collect and document medical history, medications, allergies, prior procedures, and prior injectable or laser treatments.
  • Take and record vitals, height, weight, and any pre-treatment measurements.
  • Complete consent forms and confirm the patient understands the planned treatment before the provider enters.
  • Capture standardized clinical photography (consistent angles, lighting, and background) for before-and-after records.
  • Verify pre-procedure instructions were followed — blood thinners, alcohol, retinoids, sun exposure, NPO status.

Clinical and Treatment Support

  • Set up treatment and operating rooms with the correct instruments, trays, supplies, and devices for each case.
  • Assist the provider chairside during injectables, lasers, microneedling, body contouring, and minor in-office procedures.
  • Apply topical anesthetic, prepare and label syringes and solutions per provider direction, and manage ice and compresses.
  • Perform sterile technique: instrument cleaning, autoclave operation and logging, and biological indicator testing.
  • Assist with in-office surgical procedures — draping, retraction, suction, suture and dressing support as scope allows.
  • Perform venipuncture and blood draws where a procedure requires it — PRP/PRF preparation and similar treatments — using correct patient identification, draw technique, and specimen handling.

Post-Procedure and Follow-Up

  • Deliver written and verbal aftercare instructions and confirm the patient can restate them.
  • Change dressings, remove sutures, and drain or check surgical sites under provider supervision.
  • Place post-operative and post-treatment follow-up calls and document patient-reported outcomes and concerns.
  • Triage patient calls and messages, escalating swelling, infection signs, or unexpected reactions to the provider promptly.
  • Schedule follow-up visits, touch-ups, and treatment series at the appropriate intervals.

Documentation and Compliance

  • Chart all patient encounters in the EMR accurately and same-day, including lot and expiration numbers for all injectables.
  • Maintain HIPAA compliance in every conversation, photograph, screen, and printed document.
  • Track controlled and refrigerated product inventory, monitor expiration dates, and flag reorder needs.
  • Complete OSHA, bloodborne pathogen, and infection-control requirements and keep certifications current.

Practice Operations and Patient Experience

  • Maintain clean, stocked, and camera-ready treatment rooms throughout the day, not only at open and close.
  • Manage room turnover and provider flow to keep the schedule on time without visibly rushing patients.
  • Support the front desk with scheduling, confirmations, and consultation coordination during peak periods.
  • Communicate clearly with providers, front desk, and injectors so hand-offs are seamless and nothing falls between roles.
  • Contribute to a discreet, high-service environment: manage waiting-room privacy, remember returning patients, and anticipate needs.

Consultation and Retail Sales

  • Support provider consultations: prepare the chart and photos in advance, take notes, and document the recommended treatment plan.
  • Explain treatments, expected downtime, and aftercare in clear, honest terms so patients make informed decisions without pressure.
  • Present and sell skincare, injectable series, and treatment packages with accurate pricing, promotions, and membership terms.
  • Recommend homecare regimens that match the patient's treatment plan and follow up on reorders and refills.
  • Convert consultations into booked treatments by resolving hesitations, coordinating scheduling, and following up on open estimates.
  • Maintain retail displays, testers, and stock levels; track product sales and flag slow or out-of-stock items.

Qualifications and Requirements

  • 1–3 years of experience as a medical assistant, phlebotomist, or in a clinical support role; plastic surgery, dermatology, or medical spa experience preferred.
  • Venipuncture competency sufficient to draw blood for procedure-based treatments such as PRP/PRF; phlebotomy certification preferred.
  • Medical Assistant certification (CMA, RMA, or CCMA) preferred; current BLS/CPR required.
  • Working knowledge of HIPAA, OSHA, and bloodborne pathogen standards, plus sterile technique and instrument processing.
  • EMR proficiency and same-day charting discipline; comfortable with clinical photography and digital patient records.
  • Polished, discreet, and warm patient-facing presence with the composure to keep a full schedule moving on time.
  • Strong attention to detail in documentation, labeling, and inventory tracking.
  • Full-time, Monday through Friday — no weekend or on-call coverage required.
