Job Title: Office Assistant

Location: Dexter Township. 6880 Dexter-Pinckney Rd. Dexter, MI 48130

Employment Type: Part-Time (24 hours per week). 10:30am-4:30pm Monday – Thursday.

This is an in-office position.

Compensation:

$21.00 per hour. Wages are established annually by the Township Board. Benefits include employer-sponsored health care plan, PTO, and paid holidays.

Position Overview:

Dexter Township is seeking a motivated and detail-oriented Office Assistant to support the daily operations of the Township. This role involves clerical, administrative, and customer service responsibilities, as well as assisting with Township programs, resident services, and Board initiatives. The Office Assistant reports to the Administrative Manager and supports the Director of Planning and Zoning’s, Treasurer’s, Clerk’s, and Supervisor’s offices as needed. The ideal candidate is organized, adaptable, and able to work independently in a fast-paced, government setting. This is a part-time role ideal for someone with a background in local government.

Key Responsibilities:

  • Greet and assist residents, answer phones, and respond to general inquiries.
  • Assist Director of Planning and Zoning with file uploads and organization, document creation, and creation of Planning Commission and Zoning Board of Appeals packets.
  • Process tax payments, permit fees, and other resident forms.
  • Prepare, proofread, and distribute meeting agendas and Board packet materials.
  • Maintain digital and physical filing systems in compliance with records retention laws.
  • Support public communications, including newsletters, website updates, and social media.
  • Assist with FOIA requests (collecting and compiling records).
  • Track and manage contracts, vendor files, and RFP processes.
  • Assist with program implementation, resident sign-ups, and surveys for Township initiatives.
  • Provide clerical support for grant administration and reporting.
  • Help coordinate volunteer activities for Township programs.
  • Support special projects directed by the Township Board or office leadership.

Required Qualifications:

  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Ability to work independently while handling interruptions professionally.
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
  • Willingness to learn specialized Township software (e.g., BS&A)
  • High attention to detail and accuracy in recordkeeping.
  • Ability to maintain confidentiality with sensitive information.
  • Valid U.S. driver’s license.

Preferred Qualifications:

  • Prior experience in a government office or public administration setting.
  • Knowledge of FOIA processes and the Michigan Open Meetings Act (OMA).
  • Comfort with public outreach tools: newsletters, social media, website posting.
  • Experience assisting with program implementation or grant reporting.
  • Basic knowledge of municipal budgeting, billing, or accounts receivable.

Physical Requirements:

  • Ability to work at a computer for extended periods.
  • Ability to lift files, boxes, and supplies up to 25lbs
