We are looking for a proactive and detail-oriented Executive Assistant to join our team in Flint, Michigan. This Contract-to-permanent position offers an exciting opportunity to provide high-level administrative support to directors, leadership teams, and other stakeholders. The ideal candidate will thrive in a fast-paced environment and possess exceptional organizational and communication skills.
Responsibilities:• Manage and maintain executive calendars, schedule meetings, and ensure timely follow-ups on action items.
• Prepare accurate and detailed meeting minutes, ensuring proper documentation and distribution to relevant parties.
• Oversee board operations by organizing and maintaining documentation in compliance with legal and organizational standards.
• Coordinate event logistics, including meeting room arrangements, catering, and scheduling in collaboration with staff.
• Provide administrative support to various departments and initiatives, contributing to the overall success of organizational goals.
• Collaborate with HR leadership to assist in recruitment processes, including posting job openings, scheduling interviews, and facilitating pre-employment activities.
• Cultivate and maintain positive relationships with community partners and associated organizations.
• Adapt to shifting priorities and take a proactive approach to address emerging administrative needs.• Minimum of two years of experience in a senior-level administrative role or equivalent.
• Proven ability to manage confidential information with discretion and professionalism.
• Strong multitasking skills and the ability to work independently in a dynamic environment.
• Proficiency in Microsoft Office Suite and Google Workspace, with a willingness to learn new tools and platforms.
• Excellent interpersonal skills, with the ability to engage effectively with people from diverse backgrounds.
• Flexibility to work evenings and weekends as required by organizational needs.
• Reliable transportation and the ability to travel when necessary.
• Physical ability to lift and transport materials weighing up to 50 pounds.
