Customer Service Representative (Front Desk – Medical Office)

Location: Madison Heights, MI

Schedule: Full-time (multiple scheduling options available)

About the Role

We are seeking a friendly, positive, and professional Customer Service Representative (CSR) to support a busy pediatric‑focused medical office in Madison Heights. This position serves as the first point of contact at the front desk , supporting patients, families, and clinical staff in a fast‑paced environment.

This role is ideal for someone who enjoys helping others, can manage multiple tasks at once, and thrives in a team‑oriented, patient‑centered setting.

Schedule Options

Option 1: Alternating Weekly Schedule

• Week A: 7:30 AM – 4:00 PM (arrive ~7:20 AM to open office)
• Week B: 9:30 AM – 6:00 PM
• Monday through Friday
• First patient appointment is at 7:30 AM
• Walk-ins accepted until 6:00 PM

Option 2: Four 10‑Hour Days

• Four days per week: 7:30 AM – 6:00 PM
• One weekday off (cannot be every Monday or every Friday)
• Days off chosen quarterly, based on seniority

Key Responsibilities

• Greet patients and families with a positive, welcoming attitude
• Answer high‑volume phone calls promptly and professionally
• Assist patients with questions about insurance, eligibility, and products
• Verify insurance, obtain authorizations, and collect required referral forms
• Manage scheduling for clinical staff
• Process orders and maintain accurate status updates in the system
• File customer orders and medical records
• Prepare documents for imaging
• Support simple shipping tasks, including preparing casts for modification
• Provide consistent support in a busy pediatric healthcare environment , including patients with disabilities

Required Qualifications

• Ability to maintain professionalism during emotionally difficult or sensitive interactions
• Face‑to‑face customer service experience (required)
• Positive attitude and strong interpersonal skills
• Strong multitasking abilities (phone + computer simultaneously)
• Basic computer proficiency
• Good hygiene and reliable work habits
• Ability to work the required schedule

Work Environment

• Busy storefront/clinic environment
• Team-oriented office that values positivity and helping one another
• Approximately 60–70 patients daily supported by 8 clinicians
• Frequent pediatric appointments, including helmet adjustments every 30 minutes
• Direct supervision from the onsite Manager

This is a Contract to Hire position based out of Madison Heights, MI.

The pay range for this position is $18.00 - $20.00/hr.
