Job Title: PRC Wyoming Receptionist

Reporting Relationship: Compassionate Support Services (CSS) Director

Department: Compassionate Support Services (CSS)

Days Worked: Monday - Thursday

Required Hours: Part-time – 32 hours per week; Hourly / Non-Exempt

Benefit Eligible: No

Position Summary:

The primary purpose of this position is to work at the reception desk and assist with various other duties in the PRC Wyoming office.

Specific Responsibilities:

Volunteer Advocate Support:

o Track volunteer absences and notify the Advocate Coordinator of any schedule changes

o Track upcoming client schedule changes and update advocates

Client Relations:

o Greet and assist clients, visitors, donors, and volunteers with warmth and professionalism

o Assist clients with workshop registration and item pickups, complete necessary paperwork

o Notify Advocate Coordinator or appropriate program staff of client concerns, missed appointments, or complex needs that require additional attention

o Contact Advocate Coordinator or appropriate staff if client or visitor de-escalation is required

Administrative Duties:

o Serve as the first point of contact for individuals calling and visiting the Wyoming office; direct to appropriate staff

o Retrieve, sort, and distribute mail and packages to designated staff

o Know and use the client database and scheduling system to maintain and adjust appointment availability, including opening and closing appointment slots as needed and in accordance with program guidelines

o Assist with the Wyoming office maintenance and facility needs by interacting regularly with the PRC Office Coordinator and directing vendors to the Compassionate Support Director or the Education Director

o Record and update the Advocate Coordinator of upcoming volunteer absences to ensure coverage for scheduled appointments

o Communicate with CSS program coordinators regarding schedule changes

o Maintain adequate supplies of all client and volunteer forms by ensuring forms are copied, organized, and restocked as needed

o Maintain a wholesome and organized reception area, lobby, restrooms, and interior windows through routine and ongoing cleaning and upkeep throughout the workday

o Track routine and special Wyoming office supplies, bathroom supplies, and kitchen supplies, communicating these needs weekly to the Administration Department Assistant

Additional Responsibilities:

o Host after-hours volunteer groups on occasion (approximately one time per month)

o Attend Prayer Summit, all-staff meetings, trainings, and other PRC-sponsored events, as required

o Assist with and/or attend PRC events (Gala, volunteer events, Walk for Life, etc.), when directed by CSS Director

o Perform other tasks as assigned by the CSS Director

Position Requirements:

o Bilingual (Spanish) skills preferred

o Proficient in smart phone usage, texting, Microsoft Office (including Word, Outlook, Excel, and Copilot), and database software

o Detail-focused

o Strong organizational skills

o Able to work in a fast-paced environment

o Ability to learn, teach, and inform

o Ability to maintain confidentiality while working with highly sensitive data

o Ability to lift 50 pounds

o Possess a valid driver’s license as well as reliable transportation (necessary for position requirements)
