Accounts Receivable (Part-time)

  • Monday to Friday, Day Shift, 20-30 hours per week.

Account Receivable -

This is a part-time position expected to last for 6 weeks. However, there is potential for the role to be extended or transition into a full-time, permanent opportunity based on business needs and performance.

Headquarters in Howell, Michigan, providing HVAC solutions, appliances, and energy management systems to customers for over 40 years. We are now Michigan’s leading distributor of direct HVAC sales, catering to the hospitality, healthcare, educational, and multifamily markets. Current Need:
Seeking a highly detail-oriented and organized individual to provide billing and administrative support to our growing team. This position covers territory across Michigan and occasionally national areas. The primary responsibilities of this position will involve invoicing from QuickBooks. This role will support the entire management and sales team.

 

Main Responsibilities:

  • Process invoices daily and enter them into the system accurately.
  • Reconcile customer accounts to ensure accuracy of balances.
  • Resolve billing disputes in a timely manner.
  • Manage customer inquiries related to billing matters.
  • Assist with account maintenance.
  • Provide support for the Accounts Receivable team.
  • Review sales orders to ensure that deliveries are made and the charges are appropriate.
  • Calculate costs associated with sales and update the delivery tracker.
  • Submit invoices to customers via email and online portals.
  • Update matrix spreadsheets and file documents accurately.
  • Communicate directly with customers and clients regarding billing and invoicing matters.
  • Perform administrative duties such as filing, typing, copying, scanning, etc.
  • Provide critical problem-solving and attention to detail in every task.

Minimum Requirements:

  • 2 years of office experience.
  • Invoicing experience (preferred).

Critical Skills:

  • Proficiency in Microsoft Office (Outlook, Excel, and Word).
  • Proven experience in customer support.
  • Strong attention to detail and organizational skills.
  • Critical thinking ability.
  • Valid driver’s license and an acceptable driving record.

Additional Knowledge and Skills:

  • Experience with CRM tools (e.g., ACT, Salesforce).
  • B2B field/inside sales experience in distribution is a plus.
