Position Summary

The Assisted Living Office Assistant provides essential administrative and customer service support for the Assisted Living community. This role is often the first point of contact for residents, families, and visitors, and plays a key part in ensuring smooth daily operations, clear communication, and a welcoming atmosphere.

Key Responsibilities

  • Greet and assist residents, families, visitors, and delivery personnel in a friendly, professional manner.

  • Answer, screen, and direct phone calls and emails promptly and courteously.

  • Maintain receptionist and front-desk coverage during business hours.

  • Schedule appointments, manage calendars, and coordinate meetings or facility events.

  • Maintain accurate filing systems, resident records, and office documentation.

  • Prepare, sort, and distribute mail, memos, and other correspondence.

  • Order and maintain office supplies; keep workspaces orderly.

  • Assist with data entry, reports, and basic recordkeeping as needed.

  • Support communication between departments and staff members.

  • Provide clerical support for billing, resident admissions, move-ins/outs, and other administrative tasks as assigned.

  • Uphold confidentiality and professionalism in all interactions.

Qualifications

  • High school diploma or equivalent required; additional administrative experience preferred.

  • Previous experience in nursing office support or senior living environments is required.

  • Proficient with Microsoft Office (Word, Excel, Outlook) and comfortable learning new software systems.

  • Excellent verbal and written communication skills.

  • Strong attention to detail, organization, and time-management abilities.

  • Ability to multitask and respond professionally in a fast-paced environment.

  • A positive, resident-focused attitude with a commitment to teamwork and quality service.
