Schedule is Mon-Fri, 8:30am-5pm
The Receptionist serves as the front-facing representative of a busy office environment, greeting and directing employees, customers, vendors, and visitors. This role requires a professional, friendly, and well-presented individual who can manage a high-volume, multi-line phone system while interacting effectively with staff at all levels.
This position is ideal for someone who is organized, proactive, and comfortable working in a fast-paced office setting where professionalism and confidentiality are essential.
- Answer, screen, and route incoming calls using a multi-line VoIP phone system
- Respond resourcefully and proactively to day-to-day issues as they arise
- Provide a welcoming and professional experience for visitors, employees, and clients; appropriately direct and announce guests
- Maintain strict confidentiality when handling executive-level and sensitive information
- Manage Outlook calendar scheduling for lower conference room areas
- Support office security procedures, including monitoring visitor logs, issuing badges, and controlling access at the reception desk
- Coordinate shipping, receiving, and distribution of mail and packages; maintain tracking logs and forward mail as needed
- Assist with expense reporting by compiling and submitting required documentation to accounting
- Prepare materials such as bound financial packets and presentations as requested
- Support copying, scanning, and mass mailing processes through completion
- Assist with catering coordination and support planning and execution of office events
- Strong data entry skills
- Excellent customer service and interpersonal skills
- Professional phone etiquette and experience with multi-line phone systems
- Strong multitasking and time management abilities with the capacity to prioritize effectively
- Self-motivated with the ability to work independently with minimal supervision
- Strong written and verbal communication skills
- Highly organized with strong attention to detail and ability to follow established processes
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Minimum of 2 years of administrative or customer service experience preferred
- High school diploma or equivalent required
- Proficiency with Microsoft Office Suite
