Description

The Administrative Associate Accounts Payable will be responsible for monitoring the outflow of capital for the company with processing, filing, and completing payments as needed.

Duties / Responsibilities:

  • Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records.
  • Facilitates payment of vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies.
  • Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop-payment orders as needed.
  • Assists with accounting records and ledgers by reconciling monthly statements and transactions.
  • Calculates and reports sales tax based on paid invoices.
  • Ensures proper processing of payroll deductions for taxes, benefits, charitable contributions, and other deductions.
  • Reconciles the general ledger and monthly bank statements.
  • Issues, or reissues, physical or replacement checks or direct deposits due to errors.
  • Records and processes federal and state payroll tax deposits.
  • Performs other related duties as assigned.
  • Reports to department manager.

Requirements

Required Skills/Abilities:

  • Ability to follow directions and work well in a team.
  • Must be reliable and extremely trustworthy.
  • Must be proficient in Microsoft Office Suite or related programs.
  • Must be able to learn other accounting software systems.
  • Excellent organizational skills and attention to detail.
  • Ability to maintain confidential and meticulous records.
  • Basic math skills including addition, subtraction, multiplication and division.
  • Basic Quality Standards and Concepts literacy

Education and Experience:

  • High school diploma or equivalent required; Business or Accounting degree preferred.
  • Certified Accounts Payable Professional (CAPP) certification preferred.
  • Two years of experience in accounting or bookkeeping
  • Other certifications, training or requirements as may arise for this position as communicated by management.
  • Completion of on-the-job training may be substituted for educational requirements.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • May be required to communicate, discern, convey, or exchange information with other teammates.
