Commercial Administrative Specialist
JOB SUMMARY
This position primarily performs a variety of administrative and support functions for the commercial lending staff to support the pre-close review process for Commercial Loans.
DUTIES
- Prepares loan package for closing process and ensures all parties receive appropriate copies; including loan officer, client and title company.
- Assists commercial lenders with expense reimbursement process.
- Requests appraisals, title work, flood determinations and UCC searches.
- Prepares and processes loan extensions.
- Prepares loan documentation for commercial lenders, as needed.
- Produces automatic payment forms.
- Processes payments/transfers and wire transfers.
- Completes floor plan transactions and credit verifications.
- Assists clients with requests for payoff quote and releases/discharges.
- Assists clients with investigating issues/concerns.
- Maintains scheduling of conference room(s) and/or open office(s) and office supplies for staff.
- Coordinates Advisory Board in market area and completed minutes.
- Assists commercial lenders with loan closing process with client when lender is not available.
- Attends community functions and civic organizations, with the goal to be a good ambassador for the bank and be active in the communities we serve.
- Maintains and protects confidentiality of client information.
- Maintains regular, on-time attendance.
- Remains current in assigned training and continuing education for designation retention (online, video, in-house emails, telephone seminars, etc.)
- Complies with all regulatory requirements including Bank Secrecy Act and all others specific to their position.
- Performs other various duties as assigned.
CONTACT WITH OTHERS - INTERNAL
- Communicates on a regular basis with commercial, mortgage and installment lending loan officers.
CONTACT WITH OTHERS - EXTERNAL
- Communicates frequently with customers, as needed.
- Communicates on an as needed basis with auditors and bank examiners.

- Associates degree in Business/Finance is preferred; otherwise, must have a combination of applicable education and experience.
- Previous bank experience is preferred.
- Passion for providing a stellar customer service experience to all customers (external and internal) and ability to instill this passion in others.
- Excellent interpersonal skills (tactfulness, cooperation, courteousness and customer friendliness) are necessary to represent the bank in a positive manner.
- Positive and cooperative approach when working with others.
- Excellent written communication skills with demonstrated ability to write clearly, concisely and effectively, with attention to detail for visually appealing output and accurately proofreading publications.
- Excellent verbal communication skills with the demonstrated ability to effectively present information to customers and management.
- Strong administrative skills with effectiveness in developing tasks and managing resources to achieve targets/goals.
- Ability to multi-task while paying attention to details.
- Ability to maintain confidentiality and handle sensitive information.
- Knowledge of basic accounting procedures.
- Ability to efficiently and accurately keyboard information, both computer and calculator.
- Strong computer skills with a proficiency in MS Word, Excel and Outlook
