We are seeking a highly organized, detail oriented Medical Office Coordinator to support high-efficiency day to day operations and play a key role in exceeding the clinic’s performance goals. This is not a passive front desk job. Our ideal team member will bring initiative, creativity, and results.

As the clinic evolves into a regenerative medicine model, you’ll help shape both the clinical experience and the growth of an innovative practice.

In the coming months we’ll be opening a new location, creating opportunities for leadership and advancement.

Responsibilities

• Coordinate patient check-in/out, insurance verification support, and proper flow of medical records

• Educate and support patients before, during, and after treatments

• Track and report key metrics that improve patient retention and revenue growth

• Support team building, staff training, and efficiency initiatives

• Manage and replenish clinical and office inventory weekly to prevent shortages

• Maintain cleanliness and organization in clinical areas

• Support new clinic opening tasks in Farmington Hills (training materials, logistics, onboarding staff, etc.)

• Other duties as assigned

What Success Looks Like

• 95%+ schedule fullness across all providers

• Less than 10% cancellation and no show rate

• 200+ outbound calls per week (past patients, reactivations, confirmations)

• Weekly visit volume of 40+ patients per provider

• Referral retention: 10+ visits per new patient referral

• Timely documentation and patient communication logging

Qualifications

• Bachelor’s degree or equivalent

• 2+ years of experience in medical office coordination or front desk in a healthcare setting

• Strong understanding of medical scheduling systems, EMRs, and insurance basics

• Excellent communication and phone skills; professional and friendly demeanor

• Comfortable in a fast-paced, multitasking clinical environment

• Ability to support cross-training and backup roles across staff

• Tech-savvy
