Executive Assistant for Special Populations
IN THIS ROLE:
We are seeking a highly professional, confidential, collaborative, and proactive individual to provide administrative support for the Executive Director of Special Populations. You will provide overall coordination for the Executive Director of Special Populations, including maintaining communication with internal and external stakeholders, research and preparing reports and presentations. You will also multi-task a variety of functions to effectively perform various administrative support activities.
WHAT WE NEED:
- Act as department support lead, maintaining communication within and between
- Participate in planning, decision-making and problem-solving with the Executive Director,
- Lead the coordination, implementation, management, and documentation of department
- Develop and maintain standard operating procedures to assist with the preparation of the
- Assist with the development, management, and documentation of assigned budget.
- Support department project objectives and timelines.
- Support the coordination/daily operations of assigned functions, coordinating/managing
- Developing tracking systems, forms, procedures, and short- and long-term planning
- Support department meetings, activities, and events.
- Develop multimedia presentations, materials, brochures, and handouts.
- Prepare and coordinate contracts for independent contractors.
- Execute/oversee various accounting procedures related to expenditures, purchase orders,
- Act as confidential assistant in all matters in which organizational or personal privacy rights
require limited access to information.
WHAT YOU NEED:
- High school diploma or GED required. Associate's Degree preferred.
- Four years of related work experience supporting executive level management.
- Proficient computer software skills, including use of Google Suite and/or Microsoft Office
- Ability to trouble shoot and solve complex situations.
- Excellent time management, organizational, project management, communication and
- Ability to maintain confidentiality.
- Ability to manage and track budgets, contracts, purchase orders, and invoices.
- Ability to read, interpret and analyze reports and regulations preferred.
SALARY DETAILS:
$23.61 - $27.37 per hour based on experience, with the potential of earning up to $29.47 Hourly / NonExempt Position / 12-month work year
