Project Manager Assistant

Client Support
- Serve as a secondary point of contact for assigned clients. Individual may serve as primary contact for certain clientele as role progresses.
- Respond promptly to client inquiries regarding sample status, turnaround times, reporting, and logistics.
- Route technical questions to the appropriate Project Manager or laboratory personnel.
- Build positive client relationships through professional and timely communication. Proactive and reactive communication required.
Project Coordination
- Assist Project Managers in managing client projects from login through final report delivery.
- Monitor project status and communicate delays or issues proactively.
- Coordinate sample priorities with laboratory departments.
- Assist with rush projects and schedule changes.
- Track client deliverables and due dates.
Sample & Data Management
- Review Chain of Custody (COC) forms for completeness.
- Verify sample login information for accuracy.
- Assist with project setup within the Laboratory Information Management System (LIMS).
- Maintain accurate project documentation.
- Review reports for completeness prior to release.
- Assist with report generation and electronic data deliverables (EDDs).
Administrative Support
- Prepare client quotations and proposals as directed.
- Generate project documentation and correspondence.
- Maintain project files and records.
- Assist with invoicing questions and project closeout activities.
- Schedule meetings and coordinate client conference calls when needed.
Communication
- Coordinate communication between:
- Laboratory departments
- Sample Receiving
- Project Managers
- Couriers
- Sales representatives
- Clients
- Escalate client concerns appropriately.
- Provide status updates to internal teams.
Quality & Compliance
- Follow all laboratory Quality Management System (QMS) requirements.
- Adhere to applicable EPA, NELAP, ISO 17025, and company quality standards.
- Maintain confidentiality of client information.
- Assist in identifying process improvements that increase efficiency and customer satisfaction.
