Administrative Assistant - High Volume Entertainment Venues

Location: Ferndale and Corktown entertainment spaces (2 LOCATIONS)

Position Overview: We are seeking a detail-oriented and responsive Administrative Assistant to assist the venue owner and serve as the primary communication hub for our high-volume entertainment venues. This role is essential to ensuring seamless event coordination and exceptional client service across our Ferndale and Corktown locations.

Key Responsibilities:

Client Communication & Response Management

• Respond to client emails and phone calls within established timeframes (response time is critical to success in this role)
• Maintain professional and timely communication with all prospective and existing clients
• Serve as primary point of contact for event inquiries and ongoing client relationships

Event Coordination & Documentation

• Create comprehensive Banquet Event Orders (BEOs) detailing all event specifications, requirements, and logistics
• Coordinate event details including catering, setup, audiovisual needs, and special requests
• Ensure accurate and complete information transfer between clients and operational staff

Information Management & Staff Communication

• Distribute event information, updates, and changes to all relevant staff members
• Maintain organized records of all client communications and event details
• Coordinate between front-of-house, kitchen, and management teams to ensure seamless event execution

Venue Tours & Sales Support

• Conduct professional venue tours for prospective clients
• Highlight venue features, capabilities, and unique selling points
• Answer questions about space configurations, capacity, and available services

Required Qualifications:

• Strong written and verbal communication skills
• Excellent organizational abilities and attention to detail
• Proficiency with email management and office software
• Experience in hospitality, event planning, or customer service preferred
• Ability to work in a fast-paced, high-volume environment
• Professional demeanor suitable for client-facing interactions
• Reliable and punctual with strong time management skills

Preferred Experience:

• Previous experience in event coordination or hospitality administration or administrative assistance
• Familiarity with BEO creation and event management systems
• Knowledge of Detroit entertainment and hospitality market
