DOT and Fleet Administrator
- DOT and FMCSA Compliance
- Maintain and update all Driver Qualification (DQ) files, ensuring they are complete and current with required documents such as licenses, medical cards, and certifications.
- Manage the company's drug and alcohol testing program, including random screenings, and maintain all necessary records.
- Track and manage Hours of Service (HOS) logs, ensuring driver adherence to regulations.
- Prepare for and assist with internal and external DOT and FMCSA audits, including managing and retrieving all necessary documentation.
- Monitor fleet activity and driver behavior using GPS and telematics systems to ensure compliance with safety standards.
- Stay up-to-date with changes in DOT and FMCSA regulations and communicate updates to management and drivers.
Vehicle and Equipment Management:
- Manage the full lifecycle of fleet vehicles, including acquisition, registration, titling, and disposal.
- Schedule and track all vehicle maintenance and preventative maintenance (PM) schedules to ensure roadworthiness and compliance.
- Oversee the Driver Vehicle Inspection Report (DVIR) process, ensuring all defects are logged and corrected in a timely manner.
- Maintain accurate and organized records of all vehicle maintenance and repair history.
- Manage fuel cards and monitor fuel consumption, generating reports as needed.
Administrative and Reporting:
- Coordinate with vendors, service providers, and fleet management companies to manage costs and resolve issues.
- Process fleet-related invoices, including maintenance and fuel expenses, for timely payment.
- Compile and analyze data to create performance reports on fleet metrics such as fuel efficiency, utilization, and maintenance costs.
- Manage all administrative tasks related to fleet operations, such as toll accounts and vehicle assignment records.
- Maintain comprehensive fleet databases and filing systems, both digital and physical, for easy retrieval of records.
Required Qualifications:
- 1-3 years' experience in Dot & FMCSA Filings Including MCS 150, UCR, 2290, & HUT.
- 1-3 years of experience in fleet administration, logistics, or a related field.
- Demonstrated knowledge of DOT and FMCSA regulations and compliance requirements.
- Proficiency with Microsoft Office Suite, particularly Excel, and familiarity with fleet management software and telematics.
- Excellent organizational, multitasking, and problem-solving skills.
- Strong verbal and written communication skills.
- Telematics experience including ELD, HOS and DVIRs.
