Executive & Personal Assistant

Position Overview

The Executive & Personal Assistant will provide high-level administrative, operational, and personal support to the owner, an entrepreneur overseeing multiple restaurant locations and business operations. This role is ideal for someone who is detail-oriented, proactive, and capable of balancing both business logistics and personal support tasks. The ideal candidate thrives in a fast-paced environment and maintains professionalism, confidentiality, and consistency across all responsibilities.

Key ResponsibilitiesExecutive & Administrative Support

● Manage his daily schedule, including meetings, onsite visits, and personal appointments.

● Organize, filter, and respond to emails, texts, and follow-up tasks.

● Draft communications, internal memos, and operational updates.

● Track deadlines, manage task lists, and organize ongoing business projects.

● Maintain strict confidentiality at all times.
Restaurant Operations Support (Updated & Expanded)

● Pick up desserts/products from the Hudsonville location and transport them safely to the Grand Rapids location.

● Secure and transport end-of-day payouts between designated locations.

● Handle bill pay for each restaurant location.

● Assist with set-up of catering orders for corporate client meetings/luncheons held offsite.

● Print menus and ensure accurate organization of all printed materials.

● Maintain and organize the corporate office, ensuring systems, filing, and workspace efficiency.

● Employee data management. Filing and maintaining all digital files (logos, digital marketing files, employee documents, HR files, etc.)

● Organize and manage inventory for Licari’s merchandise, including restocking and presentation.

● Prepare documentation for tax purposes, including statements and detailed reporting.

● Organize credit card statements and create coding categories for accurate bookkeeping.

● Process payroll and sales reports according to CPA guidelines (CPA will provide a checklist).

● Pick up professionally printed menus from the print shop and distribute to each location.

● Complete bank runs for money pick-ups and deposits as needed.

● Manage MarginEdge restaurant management software for reporting, invoices, and cost tracking.

● Support travel planning, itinerary creation, and logistics for restaurant-related events, conferences, or business travel.

● Event planning and coordination for employee appreciation events and holiday parties for staff.

Marketing, Branding & Social Media Support

● Post and create social media content across platforms (must be family-friendly and brand-appropriate).

● Design flyers, social media graphics, and promotional materials in Canva.

● Assist with gathering photos, videos, and branded content from restaurant locations.

● Support brand consistency in messaging, tone, and visuals.

Personal Assistant Responsibilities

● Assist with personal errands, reservations, gift purchases, and scheduling.

● Support travel planning, itinerary creation, and logistics.

● Coordinate home maintenance service providers and appointments when needed.

● Provide light family-related support only when appropriate and agreed upon.

Skills & Qualifications

● Highly organized with strong attention to detail

● Excellent written and verbal communication skills

● Professional, polished, and hospitality-focused demeanor

● Ability to anticipate needs and proactively solve problems

● Comfortable using Google Workspace, communication apps, and management software

● Knowledge of bookkeeping basics preferred - online bill pay and record keeping

● Experience in restaurants, hospitality, or office administration is a strong plus

● Experience with event planning, project coordination, bookkeeping (QuickBooks), data entry, filing systems, and office management.

● Reliable transportation and flexible availability (some evenings/weekends may be required)

Compensation & Hours

● Part-time for now and full time in the future depending on business needs.

● Competitive hourly $20-$23
