PRIMARY FUNCTION: [1] Greet and assist, in person or by phone, individuals contacting YWCA Kalamazoo Dreamery; assist with administrative duties; act in a professional manner at all times; able to demonstrate and adhere to the mission of YWCA Kalamazoo; and able to maintain strict confidentiality.

QUALIFICATIONS: [2]

  1. High school diploma or equivalent required. Completion of some college coursework preferred.
  2. Strong interpersonal and communication skills.
  3. Ability to multitask and remain calm in a fast-paced environment
  4. Familiarity with childcare licensing regulations and safety procedures is a plus..
  5. Proficiency in basic computer applications, including Microsoft Office software (Word, Excel, Powerpoint, Publisher)
  6. Must pass background checks and meet health requirements as mandated by state regulations.

RESPONSIBILITIES: [3]

  1. Serve as back up for classroom support.
  2. Project a positive image of the agency and its programs to the community.
  3. Greet families, children, and visitors with professionalism and warmth upon arrival.
  4. Verify authorization for individuals dropping off or picking up children using the center’s approved list and identification protocols.
  5. Answer and direct incoming calls, take messages, and respond to inquiries.
  6. Monitor front desk entrance to ensure only authorized individuals enter the facility.
  7. Assist with administrative tasks such as filing, data entry, and maintaining child records.
  8. Communicate effectively with staff regarding child attendance, visitor arrivals, and any concerns.
  9. Enact safety plan as directed.
  10. Maintain confidentiality of child and family information at all times.
  11. Perform other duties as assigned by the supervisor.

WORKING CONDITIONS AND ESSENTIAL FUNCTIONS: [4]

  2. Sitting, standing, bending, some lifting
  3. Frequently required to stand
  4. Frequently required to walk
  5. Frequently required to sit
  6. Continually required to utilize hand and finger dexterity
  7. Continually required to talk or hear
  8. Occasionally exposure to outside weather conditions
  9. Infrequent exposure to bloodborne and airborne pathogens or infectious materials
  10. While performing the duties of this job, the noise level in the work environment is usually quiet.
  11. The employee must occasionally lift and /or move more than 15 pounds.

TRAINING REQUIREMENTS: [5]

  1. Orientation to YWCA Personnel Policies, Mission, Purpose and One Imperative.
  2. Racial Justice Training
  3. Orientation to Domestic Violence, Sexual Assault, Confidentiality, Mandatory Reporting.
  4. Other appropriate training and in-service which will occur during employment.
  1. Health and Safety/OSHA and Emergency Procedures Orientation.
