General Office Administrator
Key Responsibilities:
1. Client Communication & Administrative Support
- Answer incoming phone calls and voicemails promptly and professionally.
- Set up new clients in the CRM system and process requests for new or existing services.
- Provide basic industry-related information to clients and direct inquiries to the appropriate Account Manager.
- Process credit card payments securely and accurately.
2. Adventure Window Cleaning Administration
- Schedule and route window cleaning jobs for both new and existing customers.
- Enter and manage new job proposals.
- Coordinate with the Window Manager to schedule commercial accounts.
- Perform call/email follow-ups, resolve client issues, and track service progress.
- Reach out to previous customers and new leads generating additional work.
- Prepare daily route paperwork, including cover sheets, “leave-behind” materials, and printed job details.
- Maintain and update schedules in Excel and CRM.
3. Bulk Deliveries Coordination
- Create and process work orders for bulk deliveries.
- Coordinate scheduling with customers and delivery drivers to ensure timely service.
4. Irrigation Scheduling
- Schedule irrigation appointments (start-ups, repairs, and winterizations) per the Irrigation Manager’s direction.
- Call clients the evening before to confirm appointments and provide reminders.
5. Miss Dig Ticket Management
- Enter daily Miss Dig tickets to flag upcoming jobs.
- Follow up on any marking or ticket issues to avoid delays.
6. Accounts Receivable Support
- Contact clients regarding past-due balances and process late payments.
- Address aging accounts proactively to reduce outstanding receivables.
- Create follow-up tasks for Account Managers when further action is required.
7. Receipt Management
· Process purchase orders through CRM accurately and efficiently
· Maintain correct inventory levels throughout the season.
