Location: Garden City, NY
Salary: $60,000 – $70,000
Full-Time | Some Saturdays Required

Position Overview

We are seeking a detail-oriented and organized Shipping / Office Coordinator to oversee daily shipping and office operations. This role ensures accurate order processing, on-time production scheduling, smooth workflow across departments, and excellent customer service. The Coordinator will work closely with management to keep operations efficient in a fast-paced environment.

Key Responsibilities

• Manage daily office operations including routing, order processing, billing, and customer service
• Maintain knowledge of customer routing guides and special requirements
• Verify and route customer orders; ensure initial data entry accuracy and follow up for missing information
• Establish and maintain production schedules to meet tight deadlines
• Monitor stalled jobs and take action to move them forward
• Oversee information flow across departments
• Partner with General Manager to ensure all orders are processed and scheduled efficiently
• Maintain electronic archives of customer shipments
• Research and resolve customer chargebacks promptly
• Assist with order processing when needed
• Train, manage, and support direct reports

Qualifications

• 5+ years of experience in shipping, office coordination, or operations management
• Strong multitasking and prioritization skills in a fast-paced, high-pressure environment
• Computer literate; experience with EDI, ASN, and Microsoft Office required
• Detail-oriented with excellent data entry and reporting skills
• Strong management and communication skills
• Knowledge of process improvement a plus
• Experience with Amazon/E-Commerce, MEGASYS, and Document Management Software is a plus
• Flexibility to work some Saturdays
