King Media, an internationally recognized marketing and advertising agency based in East Lansing, MI, seeks a full-time administrative assistant to join our vibrant team. If you are organized, detail-oriented and experienced, consider joining us at King!
This is a full-time in-person position for our East Lansing office.
Key Responsibilities:
Each day is different, but typical responsibilities for this position include:
• Provides advanced administrative support, demonstrating a good understanding of technical and business terminology, as well as a deep understanding of the agency's operations, procedures, and personnel.
• Learning and maintaining the office systems that keep the agency running smoothly.
• Assisting with the accounts receivable process, including creating, sending and filing client invoices.
• Processing checks for deposit, including matching received checks with client invoices and confirming payment accuracy.
• Assisting with the invoice reconciliation process, including comparing vendor invoices to contracts, evaluating for proper delivery, and matching vendor invoices to the proper client invoice.
• Assisting the agency’s accounting firm with accounts payable, including entering vendor invoices and scheduling payments.
• Manages the front office, copy room, kitchenette, conference room, and general office supplies/guest supplies and ensures all areas are neat, well stocked, and equipment is functioning properly.
• Assisting the President and Vice President with appointment scheduling, meeting follow-up, client communication and assorted administrative tasks.
• Excellent telephone etiquette and customer service skills.
• Assumes responsibility for maintaining ongoing projects as needed.
• Updating and maintaining the agency CRM platform with proper contact information for clients, vendors and other parties.
• Assisting the Accounts team with various project coordination tasks, as time and skill permit.
• Assisting the President and Vice President with special projects, as time and skill permit.
Qualifications
• 7+ years as an office manager or administrative assistant for a professional services company
• Proficient in QuickBooks or similar accounting software
• Strong computer and software skills, including Outlook, Word, Excel and PowerPoint
• Proficient in online file storage platforms such as Google Drive and Dropbox
• Experience with multi-function printers
• Detail-oriented, organized and able to quickly prioritize
• Professional demeanor and commitment to maintaining the agency brand in all interactions
