Job Summary
The Executive Office Assistant provides comprehensive administrative support related to the management and business operations of the Autism Alliance of Michigan (AAoM). This position supports executive leadership and the broader administrative team across key operational functions, including human resources support, board administration, contract and vendor management, records management, and office operations not related to programmatic activities. The role also supports front office operations by greeting and assisting on-site visitors and provides support for special projects and initiatives as assigned.

Responsibilities:

● Administrative Support:
Provide comprehensive administrative support to executive leadership (COO, CPO, CDO, and CEO), including managing complex calendars, scheduling meetings and appointments, and coordinating travel arrangements. Manage phone calls, email correspondence, and other communications on behalf of executives as appropriate.

● Board Assistance:
Maintain board-related files and documentation, including critical records, compliance materials, and board manuals. Coordinate board onboarding, committee meetings, and full board meetings. Support full board and individual board member activities as assigned by the CEO.

● Office Management:
Oversee daily office operations to ensure efficiency and organization. Responsibilities include managing office supplies and inventory; serving as the organizational administrator for platforms such as Zoom; overseeing vendor contracts and organizational memberships; greeting and assisting AAoM visitors; coordinating with staff across the organization; triaging emails and phone calls received through general organizational channels; and ensuring the office environment is orderly, professional, and well-maintained.

● Information Management:
Compile, organize, and maintain accurate and up-to-date files, records, and other organizational documents. Ensure information is properly stored and readily accessible to authorized staff when needed.

● Project Coordination:
Support special projects and initiatives as assigned by executive leadership. Responsibilities may include conducting research, preparing reports and materials, tracking deliverables, and coordinating with internal and external stakeholders.

Communication:
Serve as a liaison between executive leadership and staff, the governing board, clients, and external partners. Duties may include conveying information, scheduling meetings, drafting agendas, compiling meeting minutes and pre-read materials, managing newsletters, and representing executive leadership in designated communications, while exercising a high level of professionalism and discretion.

● Other Duties:
Perform additional responsibilities as assigned by executive leadership.

Job Qualifications:

● Prior experience in an administrative or similar support role preferred.

● Strong organizational skills with the ability to manage multiple priorities and multitask effectively.

● Excellent written and verbal communication skills.

● Demonstrated attention to detail and accuracy.

● Proficiency in office software, including Microsoft Office (Word, Excel, PowerPoint), as well as Google Workspace and Zoom.

● Strong interpersonal skills, with demonstrated cultural sensitivity and professionalism.

● Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.

● Strong problem-solving skills, with the ability to identify issues, analyze situations, and develop effective solutions.

● Flexibility and adaptability to changing priorities, work schedules, and responsibilities.

Education/Training :

● Bachelor Degree preferred

● Previous relevant experience

Special Considerations:

Travel Required: Occasional travel within the State of Michigan is required for meetings, events and training.

Work Hours: 30-40 hours per week, 5 day work week. Flexible schedule considered, with approval of Director of Development & Operations, Hybrid work environment

Other Requirements: Access to broadband internet when working virtually

Physical Demands:

● Ability to lift up to 40 pounds, up to 10 times per day

● Ability to sit for long periods of time in front of a computer

● Alternate sitting and standing, including walking short distances
