Administrative Specialist Intermediate
Summary
Ambulatory Care Services (ACS) is seeking a highly motivated professional to assist in the administrative support of the ACS enterprise. The selected candidate will be an enthusiastic team-oriented individual who will share in the goal of creating the ideal experience for ACS staff as well as the Ambulatory Care Unit (ACU) triad leadership teams, ensuring optimal operational efficiency and quality. This person must be highly functional, articulate, forward thinking, and proactive.
This position will support and oversee certain operations functions within multiple business operations and clinical teams. This person is expected to be very forward-thinking, and independent in their work and decision making. This individual will work with the ACS leaders, hospital and other central departments to problem solve, analyze, develop recommendations, and transact (as needed) according to a set of Operational Subject Matter Expertise. They are expected to be able to independently create and locate resources to do their work.

Responsibilities*
- Oversee and coordinate ACS business operational activities as assigned including but not limited to human resources, procurement, vendor management, systems management, and other clinical business support processes.
- Lead and support committees and meetings in partnership with director leadership.
- Lead improvement efforts and which require this individual to analyze, compare and evaluate various courses of action and have the authority to make independent decisions on matters of significance, within the scope of their responsibilities.
- Management of administrative processes as assigned, including but not limited to oversight and coordination with team members and creation and implementation of tools, policies & practices, etc.
- Serve as a high-level resource for ACS leaders and is the first point of contact for subject matter areas.
- Additional duties and projects as assigned.
Required Qualifications*
- Bachelor's Degree and considerable professional experience, including some in a supervisory capacity is normally required.
- Minimum 3-5 years of directly related experience is required in any of the following fields: human resources, procurement, vendor management, systems management and/or clinical operations support.
- Proficient in computer applications such as Word, Excel, PowerPoint and Outlook required; working knowledge of DropBox, Google Drive, Teams, Sharepoint and/or SmartSheets is a plus
- Demonstrated ability to thrive in a deadline driven environment
- Ability to effectively manage multiple assignments within a team setting as well as an independent contributor depending on the assigned tasks
- Demonstrated critical thinking and problem-solving skills
- Strong customer service, interpersonal, and communication skills
- Demonstrated ability to establish and maintain collaborative, respectful and productive work relationships with co-workers and members of the Michigan Medical community.
- Exercise discretion and confidentiality for all professional interactions and documentation handling.
Desired Qualifications*
- Knowledge of Michigan Medicine ACS Organizational Structure, policies and procedures.
- Knowledge Michigan Medicine policies and procedures.
- Knowledge of Epic and/or similar EMR applications
- Bachelor?s degree desirable but not required
Background Screening
Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
