POSITION OVERVIEW

We are seeking a compassionate and organized Customer Service Representative to join our urgent care team. This role is the first point of contact for pet owners seeking emergency veterinary care and plays a vital role in creating a positive, friendly, calming experience during difficult times.

KEY RESPONSIBILITIES

• Greet clients and their pets with compassion and professionalism upon arrival
• Answer incoming calls, schedule appointments, and triage urgent cases appropriately
• Collect and accurately enter patient information into our veterinary management system
• Process payments, handle invoicing
• Communicate wait times and provide updates to clients in the waiting area
• Coordinate with veterinary staff to ensure smooth patient flow
• Maintain a clean, organized reception area
• Handle sensitive situations with empathy, including euthanasia support
• Educate clients on preventive care and follow-up instructions
• Manage multi-line phone system during high-volume periods

QUALIFICATIONS

Required:

• High school diploma or equivalent
• Excellent communication and interpersonal skills
• Smiling, friendly Demeanor
• Ability to remain calm and professional in high-stress, emotionally charged situations
• Strong organizational skills and attention to detail
• Proficiency with computers and ability to learn veterinary software systems
• Flexibility to work evenings, weekends, and holidays

Preferred:

• Previous customer service experience, preferably in healthcare or veterinary settings
• Knowledge of basic veterinary terminology
